User guide

This guide shows you how to use kmceagles.org, from the schedule and your phone's calendar to saying In or Out, offering to sub and, for coaches, building a line-up. Pick a section from the contents, or read it from the top.

Start here

We wrote this guide for four groups of readers. Find yours below and follow its links.

  • Visitors and new players. Start with Getting started for the gear you need and what your first practice looks like, then read The schedule and Rinks and maps. When you’re ready to join, fill in Sign up to play. It’s for players aged 18 or over; if you’re under 18, write to us through the contact form with a parent or guardian.
  • Players. Log in with the email address we have for you, then answer In or Out for every practice and game. Start with Log in and Say In or Out, and put your team’s calendar on your phone (Calendars). Your own pages, from your Inbox to your settings, are under You (Your own pages).
  • Coaches. You have everything our players have. On each event page you also get the coach tools, where you answer In or Out for players who told you another way, add subs and ask for them, share a reminder in the team chat, build the line-up and mark who came. Your team’s roster and attendance history have pages of their own. See For coaches.
  • Club admins. Add people with their email addresses on Rosters › Everyone in the Teams area, invite them on WhatsApp, and set up the club under Club setup. See For club admins. The club’s everyday changes (events, rosters, profiles, the announcement bar and testimonials) are made here on the website; the page text, news, galleries and the club’s information are edited in Pages CMS, which has a guide of its own.

Each group also has a shorter guide, with only the sections written for it: the guide for players, for coaches and for club admins. Once you’re logged in, User guide at the foot of the menu opens yours, and each one links back to this whole guide. When we add something to the website, a short What’s new note in your Inbox tells you what changed for you.

The round i button beside a page’s title opens a short guide to that page, with a link to the matching part of this guide. Once you know your way around, you can turn these buttons off in Settings. For a quick tour of everything the website does, see Website features, which is also in the Join menu of the header.

Finding your way

The header

  • The emblem takes you to the home page.
  • The magnifier, beside the menu button, opens search. See Search, language and display.
  • The menu button sits at the right of the header. Visitors see three lines. Once you’re logged in, your photo takes their place, or your initials in gold until you add a photo. A red number on its corner counts what’s waiting for you: events to answer, unread notices and polls to answer. For coaches and admins it adds the sub offers to approve, and for admins the requests to review and the testimonials to publish. Press the button to open the menu.

On a wide screen, the header also lists the sections: Schedule, Teams, Club, Heritage, Join and Contact. Point at one, or press the small arrow beside it, to open a larger menu with the next events, the teams, the board and more. Press Escape, or press anywhere outside it, to close it. Once you’re logged in, the Schedule, Teams and Club menus also list, under For members, the members’ pages that belong there: Your events and Sub opportunities under Schedule, Game stats under Teams, and Polls and the Gear exchange under Club. Coaches and admins also see their own pages in the same menus. Everything else is in the menu.

The menu holds the whole website in one place. On a phone it fills the screen above the buttons along the bottom. On a tablet it opens as a panel down the right side of the screen, above those buttons, and on a computer as a panel down the right side of the window. Close it with the cross at its top, with Escape, or by pressing anywhere outside it. From top to bottom, it holds:

  • Search the website, which opens search. Once you’re logged in, it finds your own pages first, such as Your dues, Rosters or Away dates in Settings. See Search, language and display.
  • Who you are, once you’re logged in: your photo or initials, your name and your roles at the club (Admin, Coach, Team manager, Treasurer and Player, each with your teams).
  • Waiting for you, with only what’s there, each leading to its page: events to answer in the next two weeks, unread notices, polls to answer, other teams’ events that need a sub in a position you play and overdue dues. Coaches and admins also see the sub offers to approve and the players asking to join an event after its answer-by time, and admins the requests to review and the testimonials to publish. When there’s nothing, it says Nothing is waiting for you.
  • Your pages, in four groups. Each link has its icon and a line on what it’s for, and each group’s heading opens a page of its own: You (Inbox, Your profile, Your stats, Your dues, Settings, Feedback and Your testimonial), Schedule (Your events and Sub opportunities), Teams (Game stats, and Team kitty where your team has one) and Club (Group chats, Polls, the Gear exchange and Club documents). A red number beside Inbox counts your unread notices.
  • Tools, for coaches and admins, on a phone, a tablet or a computer. A team manager sees the tools our admins allow them, and the treasurer Club dues and Costs. On an event’s page, This event lists its coach tools; press one to open it. Next event you run shows the next event you coach (for admins, the club’s next event), with how many have said In, said Out or not answered yet, and Open its coach tools. The tools themselves are short rows, two to a row, each with its icon and its name; point at one, or press and hold it on a phone, to see what it’s for. Your teams holds Rosters, Attendance, Add an event, Add many events, Add and change rinks, Add players and coaches, and Announcements. For admins, The club holds Requests, Testimonials to publish, Game reports, Club dues, Costs, Kit orders, Club setup, links straight to its sections (Features, Menu links, Seasons, The club’s year, Chat links, Sign-in and Activity) and the Setup checklist.
  • Around the website, with the club’s sections: Schedule, Teams, Club, Heritage, Join and Contact. Each section’s name leads to its page, and its main pages are listed under it, such as Past events and the Rink map under Schedule, our teams under Teams and the FAQ under Join, so any of them is one tap away once the menu is open. Below them come the club’s own links, which our admins choose, such as News, Rinks and Head-to-head under More from the club.
  • At the foot: Sprache / Language (see Language), this User guide, Keyboard shortcuts (on a computer) and Arrange this menu, then Log out, with who’s logged in and Not you? under it, then All pages and the legal pages.

The page you’re on is marked in red. Visitors see Search the website first, then the club’s sections, Join the Eagles and Log in, and the same foot without Arrange this menu, Log out and Not you?.

The buttons at the bottom of your screen

On a phone or a tablet, once you’re logged in, five buttons along the bottom of the screen take you where you’re going with one tap, each an icon with its name under it: Home, Events (Your events, with a red number for the events of the next two weeks you still have to answer), Teams (your team, or Rosters for coaches and admins), Inbox (with a red number for unread notices) and Menu, which opens the menu with everything else, however far down the page you are. Press Menu again, or the menu’s close button, to close it; pressing one of the other four buttons closes it and takes you there. The place you’re in is marked in gold; on your own pages and the club’s pages, which only the menu leads to, that is Menu. If you’re a coach or an admin, your tools are in the menu under Tools, as on a computer. On a phone, on the pages you use most, the title, its i button and the page’s buttons share one line, and the breadcrumbs (the row of links above the title) are left out, so what you came for starts near the top of the screen. The header slides out of sight while you scroll down and comes back as soon as you scroll up. The buttons slide away while you type, so they never cover what you’re writing. On the page of an event you haven’t answered yet, Are you in? with In and Out waits right above the buttons whenever the page’s own buttons are out of sight, so your answer is always one tap away. It goes away once you’ve answered. A computer has no buttons along the bottom of the screen: the links across the top and the menu behind your photo or initials take you everywhere instead.

On every page

  • Breadcrumbs, the row of links under the header, show where you are and take you back to the pages above.
  • More, the button with three dots at the top right of many pages, holds that page’s tools, such as filters, views, calendars, printing and sharing. Point at it to see what’s inside.
  • Tabs under a page’s title switch between related views. Once you’re logged in, the Schedule has Your events, All events, Sub opportunities (Subs on a phone) and Past events. They’re all one page, so a tab changes the view at once, the rest of the page stays where it is, and your browser’s Back button takes you to the view before. Each view has the same calendar, with its own choice of List, Week or Month, and its own More menu. Coaches and admins find Add an event beside the title on every tab. On the members’ Teams pages, coaches and admins find the tabs Rosters, Attendance and Game stats, and admins also Requests, with a red number while requests are waiting. Point at a tab to see what it shows.
  • Explanations under the pointer: point at (or tap) a button that shows only a symbol (a close cross, the calendar’s arrows), a More button, a tab, a column heading, a badge such as C for captain, an abbreviation such as GP or PIM, or a short time such as “Tue” in the Inbox, and a short explanation appears. Press Escape or tap elsewhere to close it. You can turn off the round i buttons and these explanations under Settings › Help on the pages. A button that shows only a symbol still shows its name when you point at it.
  • Menus and windows unroll from the top as they open, like a blind coming down, and close at once. If your phone or computer is set to reduce motion, they appear straight away.
  • On this page: long pages (your home page, event and team pages, Settings, the guides, the club history and others) list their sections under On this page. On a phone, it’s the line under the page’s heading. It stays in view and names the section you’re reading, and you press it to jump to another. On a computer, the list sits beside the page. On an event page, the list names every section, down to each of the coach tools, and pressing a coach tool’s name opens it. Once you scroll past an event’s heading, the line that stays at the top of the page (On this page, on a phone) also shows the event’s date and title, so you always know which event you’re looking at. On a computer, press the title to go back to the top.
  • The thin bar at the very top shows how far down a long page you are. Back to top appears once you scroll down.
  • A colored bar above the header carries our announcements. Press its ✕ to hide it. It shows again when we post a new announcement there or change its words. A gold bar is your own attendance reminder (see The reminder banner).
  • If you mistype an address, the “Page not found” page suggests the pages closest to it and offers a search.

Cards under the pointer

Point at a player’s name, or a link to their profile, and their player card appears (on a phone or tablet, press and hold the name; a plain tap opens the page itself): photo, number, positions, team and hometown, and below them the facts of their profile, such as which way they shoot, the country they represent, the year they joined, their seasons with us, the other teams they play or played for, their latest captaincy and the start of their bio. Once you’re logged in, the card adds their figures this season from the game sheets, such as goals and assists, and coaches and admins also see how often they said In and how often they came. A coach or admin who would rather not see that can turn it off under Settings › Help on the pages. Point at a link to an event, and the event appears: when (as the clocks show it where the event is held, and in your own time where that differs), where, who, our record against the other team and, once you’re logged in, how many are In and your own answer. A rink shows its address, the next events there and Directions. One of our teams shows its record, its place in the league table, its next game and its head coach. Another club’s team, in an event’s title or the league table, shows our record against them and the next game. On any event card, in a list, a menu or the calendar, point at the rink, a team or the other club to see its card. Point at a count on an event card (In, Skaters, Goalies, Out, Awaiting or Waiting), and the names behind it appear, with those In split into skaters and goalies. The names show for the event’s own players and coaches and for our admins. Point at 1 sub available (or however many) to see who offered to play, with their team and position. While you have unread notices, pointing at your photo or initials on the menu button shows the newest of them. On a phone or tablet, a tap on a name or a link takes you straight to its page; press and hold it to see its card instead, with a link to the page. A tap on a count, which leads to no page of its own, shows who is behind it. Press and hold a button, a tab or an icon to read what it does, while a plain tap works as usual. Holding a close button (✕) shows no explanation. You can move the pointer onto a card, and it closes when you move away or press Escape. Settings › Help on the pages turns the cards off. Our admins can turn the cards off for everyone under Club setup › Features › Hover cards. Then nobody sees them, and Settings no longer offers them.

The schedule

The Schedule lists every practice, game and tournament for the whole club. All times are local time where the event is held: German time (Europe/Berlin) for our own events, and an event abroad in its own time zone, marked with the zone’s short name, such as 19:30 GMT or 19:00 EST (see Your time zone). Once you’re logged in, the Schedule opens on Your events. The next tab, All events, is the full schedule we describe here.

Show only what you need

  1. Open More at the top right.
  2. Under Show, choose your Team and the kind of Events: games, practices, tournaments or other.
  3. Under View, choose List, Day, Week, Month or Year. On a phone the schedule opens in List, and on a wide screen in Month. This phone or computer remembers your choice.

While a filter is on, the More button shows a dot, and each filter shows as a chip under the calendar’s controls, Eagles I × for example. Tap a chip to take that filter off, or press Show all teams and events in More to clear them all.

Read the calendar

  • Use ‹ and › to move to earlier or later dates, and Today to come back. On a phone, Today appears only while you’re looking at another week or month. You can also swipe the calendar left or right, and you choose the view (List, Day, Week, Month or Year) from the drop-down list beside the month’s name. The key explains the colors for home games, away games, practices, tournaments and other events; on a phone it folds behind Key.
  • In Month view on a computer or tablet, each day lists up to three events, each with its time and name; a busier day shows +2 more beside its date, which opens the rest. In Month view on a phone, the whole month fits on the screen, and each day with events has a short coloured line along its foot for every event, so you can see at a glance how many there are and of which kinds, with your own mark (?, In, Out and so on) above them. Year view marks each day’s events the same way. The day you choose (today, at first) has its events listed right under the month; when that day has none, the next three events are listed instead, each with its day. Tap another day to list its events, and tap an event for its details, with In and Out (and Maybe, where your team allows it). In Week view on a phone, days in a row without events share one line. Year view opens at the month you were looking at (this month, at first), and Today brings it back; tap a day to see its events in a window, or tap a month’s name to open that month.
  • Once you’re logged in, a mark beside each of your events shows where you stand: In, Out, Maybe, ? when you haven’t answered yet, Wait when you’re on the waiting list, and Sub where you offered to sub for another team. In Month view on a phone, each day shows the mark that matters most, and ? comes first. In Year view, ? marks the days with an event you haven’t answered. A key below the calendar explains the marks.
  • Tap an event to see a short summary, then press Open event page. To go straight to the page, hold Ctrl (⌘ on a Mac) as you press the event.
  • Canceled events stay on the schedule, struck through, so nobody misses the change.
  • The list holds at least the next two weeks, so the page opens quickly on a phone. Press Show November 2026 (the next month with events) under it for more, as often as you like. The first time you move the calendar to a month further away, its days are grey for a moment until its events appear. With a filter on, the button skips the months with nothing that matches it. Without a signal, the months you’ve already looked at still show; another month shows once you’re back online.

Read an event card

Every list of events on the website shows each one as a card shaped like a ticket.

  • The stub at the left gives the day, the date and the start time. Its top edge shows the kind of event, in the same colors as the calendar’s key.
  • Beside it come the event’s tags and symbols (see Markers on event cards), its title, and the time, rink and teams.
  • Once you’re logged in, a thin colored bar shows how the answers so far divide between In, Out and no answer, with a line under it such as 19 in · 10 out · 28 awaiting (19 in · 3 maybe · 10 out · 25 awaiting where the event allows Maybe), and another such as 17 skaters, 2 goalies in. Point at a number to see the names behind it.
  • On your own events, a few words above In and Out say where you stand: Answer needed, You’re in, You said Maybe, You’re out or On the waiting list. They change, with the numbers, the moment you answer.
  • The Latest results sit below the calendar. Past events, the last tab, lists this season’s events that are over, newest first and month by month, on the same cards, with the score of each game played. Once you’re logged in, each card shows the final answers (how many were in, out and gave no answer, with a bar in the same proportions), how many came, if the coaches recorded who came, and your own answer. Point at a count to see the names. Like the other tabs, it shows as a List, a Week or a Month: the week and month hold only the events that are over, and ← goes back through the season. The list holds at least the last two weeks, and the button under it goes back a month at a time. Its More menu narrows the list and the calendar to a team or a kind of event, switches the list to Oldest first, prints it, and takes you to the season’s page, the head-to-head records and the game stats.

More › Print the schedule lets you choose the teams, the kinds of event and the period: everything coming up, the next 30 days, this month or next month. The printout includes the rinks’ addresses. Your browser’s own Print command prints the months the list shows.

Calendars on your phone

Subscribe once, and every new event, time change and cancellation shows up in your phone’s calendar by itself.

  1. Open the subscribe window. For the whole club, choose Schedule › More › Subscribe to all Eagles events. For one team, go to your team’s page › More › Subscribe.
  2. Add the calendar to your calendar app:
    • iPhone, iPad, Mac and Outlook on a computer: press Apple / Outlook (webcal) and confirm Subscribe.
    • Google Calendar and Android phones: on a computer, open Google Calendar instructions in the window and press Copy link. In Google Calendar, choose Settings › Add calendar › From URL, paste the link and add the calendar. It then shows up in the Google Calendar app on your phone. If it doesn’t, turn it on in the app’s settings. (The Android app can’t add a calendar from a link by itself.)
    • Outlook.com and Outlook on the web: choose Add calendar › Subscribe from web and paste the copied link.
  3. From then on, your calendar app checks for changes on its own schedule: Apple’s within a few hours, Google’s sometimes only once a day.

Download .ics saves a one-time copy that won’t update. Use it only for a calendar app that can’t subscribe. To add a single event, use More › Add to your calendar on the event’s page.

Events, rinks and maps

An event’s page

Every event has its own page, with the time, the rink, the teams and the opponent, the final score once it’s played, and any notes from the coaches. Only logged-in members see the notes. When your coaches want you there early, the page shows Be there by with the time, and the dressing room if we know it. Your reminder and your phone’s calendar show the same. Getting there has a map and a Directions button for Google Maps. Once you’re logged in, you also see who’s coming (see Who is coming).

Watch: when the coaches add a live stream, a Watch live button appears on the event’s page from 30 minutes before the start until a little after the end, and the event’s cards carry a symbol that turns red while the stream is live. A video (highlights or the recording) plays right on the page when it’s on YouTube or Vimeo. From any other platform, it opens there. While our admins have Live stream and video turned off for a team (Club setup › Features), its events show neither, their cards carry no such symbol, and the event form says that the coaches can’t add them. Links added before stay saved, and show again once our admins turn Live stream and video back on.

On a computer, the left column (the facts, the answers so far and Getting there) stays in view as you scroll down, with a slim bar above it showing the event’s date, its kind or teams and its title. Press the bar to go back to the top.

The page’s More menu adds the event to your calendar, saves the rink for when you have no signal, and shares the event through your phone’s share menu, on WhatsApp, by email or as a copied link.

Rinks

Rinks lists every venue we play at, with our home rink first. A rink’s page shows the address, a map, Directions, the venue’s website and the events coming up there. Coaches and our admins add and change rinks on the website (see Rinks and venues).

Saved rinks

Before you go to a rink you don’t know, press Save to use without a signal on the rink’s page, or in the More menu on the event’s page. The button then reads Saved to use without a signal. Press it again to remove the saved rink. Saved rinks lists the rinks you’ve saved, with their addresses and next events, and works without reception. Directions still need a connection. Your phone also saves the pages you’ve visited, so on a weak signal it shows the saved copy after a few seconds.

Without a signal

Many rinks have no mobile reception inside. From three hours before an event, open its page once while you still have a signal, and your phone saves a copy of the event to use at the rink. Ready for the rink, under your answer, means the copy is saved; its i lists what was saved.

  • Players: your phone saves the event, your answer and the rink’s safety facts, so the event page and Check in work without a signal.
  • The scorekeeper: your phone also saves the list of players with their numbers, positions and answers, the line-up and the game sheet.
  • Coaches and our admins: your phone saves all of that, and the emergency contacts of the players who said In.

Without a signal, the page shows the copy your phone saved, and says when it saved it. If you record goals, penalties or shots on the game sheet, mark Who came or check in without a signal, your phone stores each entry until it can send it. The line under Ready for the rink says how many are still to send, such as 3 entries waiting to send, and each goal not yet sent shows Waiting to send. They go by themselves as soon as the signal returns, each one once, and the page then shows what the website saved. If the website can’t save an entry when it arrives, for example because a coach marked the sheet final in the meantime, the entry is listed as Not saved, with the reason. It isn’t on the sheet, so note it down and give it to one of the event’s coaches, then press Dismiss. Answering In or Out and the other tools still need a signal.

Your phone deletes the saved copy six hours after the event ends, or at once when you log out. Our admins can turn this off (Rink mode, under Club setup › Features) for the whole club or for one team, which means event pages then need a signal to open at the rink.

Teams, players and your profile

Teams and rosters

Teams lists each of our teams, with its roster, schedule and calendar, and the players who aren’t on a team yet. Its More menu leads to the league roster, the head-to-head records, the newest Eagles, the alumni and Print all rosters.

A team’s page shows the roster, the coaches and captains, the next events, the season’s statistics and results, the record against each opponent, and the team’s history. Above the roster, use Find a player, the position buttons and Sort by to narrow or reorder the list. More jumps to a part of the page, subscribes you to the team’s calendar and prints the roster.

The league roster lists every current Eagle in one table. Search by name or hometown, narrow it by team or position, and sort by any column.

Season pages and the recap

Every season has its own page (under Schedule, Season map lists them all): its games, tournaments and practices on one map, the venues, how far our teams traveled, and each team’s statistics and roster. Once a season is over, its page opens with a Season recap: the titles won, each team’s final record and place in the league table (with its league record shown separately where it also played playoffs, cups or friendlies), the playoff results, the biggest win, the longest trip and the busiest rink. The recap appears overnight after the season’s last day. The Season stats count every game, and the League column the league games alone. Once our admins choose the season’s club awards, the winners are listed under Club awards, straight away.

Your profile

Your profile shows your name, number, positions, shooting side, hometown and your seasons with us. It never shows an email address, phone number, birthday, rank or unit. Share sends its link, and Print or save prints the profile or your player card, or saves the card as a picture. The card shows every position you play: Forward, Defense or Goalie, and Coach or Assistant coach if you coach. Without a photo, it shows your number. Beside the card are your team’s next events and your teammates. The club awards you won are listed under Club awards, and once you’re logged in, your milestones show under your line from the game sheets.

Once you’re logged in, your own profile also shows Contact and attendance: your email, your phone number and birthday, if the club collects them, your teams, and your attendance this season, event by event. Only you, the coaches and our admins see it, and it’s never printed. Coaches and admins see the same on every player’s and coach’s profile, with a link to the attendance history. Every member also sees a player’s line from the game sheets.

Once you’re logged in, you can change the parts of your profile our admins let members change, such as your photo, your nickname or your hometown, on Your profile, under You. A part you can’t change yourself says so beside its name. For anything else, such as the spelling of your name, open Ask the club admins for something else on Your profile, write it in the note and press Save changes. You can follow it under Your requests. To hide your profile, choose Not on the public pages under On the public site. If you’re leaving the area, give your last day under Leaving the club in Settings. If you’ve stopped playing, say so in Ask the club admins for something else on Your profile. Either way, your profile then moves to the Eagles Alumni, with your seasons and stats. We delete your contact details some time later (see Leaving the club). The public Roster or profile update form is for visitors and former players without a login. Once you’re logged in, every link to it opens Your profile instead.

You don’t need a password. You log in with the email address we have for you. One of our admins adds it and sends you an invitation on WhatsApp that tells you where to log in.

  1. Press Log in at the top of any page, beside the menu, or go to kmceagles.org/login/. If you open a members’ page while you’re logged out, it takes you there by itself.
  2. Choose how to log in. You’ll only see the ways we’ve set up:
    • Continue with a passkey uses your face, fingerprint or screen lock, on a phone or computer where you’ve added one. Your phone or computer may also offer your passkey when you tap the email box.
    • A code by email: type your email address and press Continue. We’ll email you a six-digit code. Type it in, or let your phone fill it in. It works for ten minutes. If nothing arrives within a minute, check your spam folder, then press Send a new code. You can ask for a new code once a minute, up to five times an hour.
    • Continue with Google or Continue with GitHub works when that account uses the same email address we have for you, or when you’ve linked it in Settings.
  3. After a code, Google or GitHub, we’ll offer to add a passkey to this phone or computer. Add it, and your next login is one tap. On a shared or work computer, choose Not now.
  4. You then land on the page you came from, or on Your events. Your photo, or your initials in gold, then shows on the menu button at the top of every page.

How long you stay logged in. You stay logged in for 90 days on each phone or computer. After that, we’ll ask you to log in again.

Your other phones and computers. Log in on each one the same way. Settings › Sign-in lists them all.

The app on your home screen. Press Install, the button with a screen-and-arrow symbol at the top of any page. Your browser installs the app, or the window shows you the steps for your phone or computer. The app keeps its own login, separate from your browser’s. Press Log in at the top of the app and log in there once too. With a passkey, it’s one tap.

Is someone else’s name at the top of the menu? Press Not you? at the foot of the menu, log out, and log in as yourself.

Can’t log in yet? Your coach may post your team’s join link in the team chat. Open it, pick your name from the players on the team who can’t log in yet, give the email address you’d like to log in with, and press Send my request. Once one of your coaches or our admins approves it, usually within a day, log in here with that address. Only your coaches and our admins see your request and the address you gave. If your name isn’t on the list, ask your coach.

We don’t recognize your email? Ask one of our admins to check the address we have for you. Nobody else can find out which addresses we have: the login page gives the same answer for every address, and we only send a code to a member.

Lost your phone? Log in on another phone or computer and press Log out on all other devices under Settings › Sign-in, or ask one of our admins to log you out everywhere. Then remove that phone’s passkey in the same place.

Say In or Out

Answer for every practice, game and tournament, whether you’re coming or not, so your coaches know exactly who’ll be there. Until you answer, you’re listed as Awaiting response.

Where to answer

  • On Your events, beside each event.
  • On the event’s own page. The top of the page, beside the title, counts the answers: how many are In (skaters and goalies), Maybe (where the event allows it), Out and Awaiting, with a bar in the same proportions. Are you in? below it has your buttons and the names in each group.
  • Beside your own events wherever they appear on the website: the schedule, your team’s page, the home page and the calendar’s pop-ups.
  • In the gold reminder at the top of the page (see The reminder banner).

Good to know

  • You can change your answer until the event starts, and your last answer is the one that counts. Once the event starts, answers close.
  • Add a note to tell your team something, such as “Running 10 minutes late”: on the event’s page, or straight on its card in Your events (press Add a note for your team under your answer, type it and press Save note; Change edits it, and saving an empty box removes it). A note can be up to 140 characters, and everyone on the event’s list sees it next to your name. The button tells you what it will do: Save note for a new note, Save changes while you edit a saved one, and Remove note to take it away.
  • If you give your coach your answer some other way, they can enter it for you. It then shows “set by” with the coach’s name. Any answer you give yourself replaces it.
  • If a coach adds you to another team’s practice or game, it shows up in Your events marked Added as a sub, and the line under your name on the home page says Added as a sub: 1 to answer. Press it to answer In or Out in a window, or answer on the event’s page like any other event.
  • Some events have a player limit. Once it’s reached, In puts you on the waiting list.

Maybe

Some teams also allow Maybe as an answer, for when you can’t say yet, and your coaches can turn it on or off for a single event. Where an event allows Maybe, the Maybe button sits between In and Out wherever you answer, in its own color and always with its name.

  • Maybe isn’t In. You don’t count among the skaters and goalies, and you hold no place on a waiting list: if you then say In, you join the end of it.
  • Maybe gives up what Out gives up: your duty, your spot in the line-up, your car or your seat in someone else’s, a sharpening you asked for and a sharpener you said you’d bring. Saying In again brings none of it back (see Duties).
  • We remind you the day before to say In or Out, as you chose under Notifications, and not during your quiet hours. While your answer is Maybe, you don’t get the usual reminder before the event.
  • Maybe may end before the event. Your coaches can choose that Maybe ends some hours before each event, or at a set time before one event. The event’s page then says until when you can answer Maybe. After that, a Maybe counts as no answer: you’re listed as Awaiting response, and we remind you as we remind anyone who hasn’t answered.
  • Your stats and the attendance history count Maybe on its own. It never counts as In, and a Maybe is never a no-show.
  • Notifications on your phone carry only In and Out. Answer Maybe on the website or in your Inbox.

For coaches: our admins choose under Club setup › Features whether Maybe is on for every team, off for every team or chosen team by team. In the last case, you turn it on for your team under Rosters › More › Team settings, where you also choose when Maybe ends: when the event starts, or from an hour to two days before. Players who said Maybe show in a group of their own, and in Set answers for players you can answer Maybe for them too.

One event can differ from its team. On the event’s page, open Maybe for this event under Coach tools. Choose As the team chose, Players can answer Maybe or No Maybe for this event. Then choose when Maybe ends: as the team chose, when the event starts, from an hour to two days before, or At a time I choose, a date and a time before the start. Press Save; your players see the change at once.

  • Our admins’ choice comes first. While our admins have Maybe turned off for every team, no event can allow Maybe, and Coach tools has no Maybe for this event. Only an admin can change that, under Club setup › Features.
  • A time already past ends Maybe at once. Every Maybe becomes Awaiting response, and we remind those players to answer.
  • If the event moves, a deadline in hours moves with it. A time you chose stays where it is, unless the event now starts before it; Maybe then ends at the start.

Answer by

Your coaches can set a time when answers close, such as a day before each event, so that they know in good time who’s coming. The event’s page then says Answer by Thu 19:00, and so do your cards (Answer by Tue 10 Nov for an event more than a week away). Until then, nothing changes.

  • After that time you can still say Out. It counts at once, and if you were In and the event starts within 24 hours, your coaches are told of it, as they are of any late Out.
  • Saying In asks your coaches first. Your answer stays as it was and you’re not counted In; the event’s page and your cards say Asked to join. We let you know their answer. Once they say yes, you’re In, or on the waiting list from the moment you asked.
  • If they say no, your answer stays as it was, and you can’t ask again for that event. Talk to your coaches if something has changed: they can still set you In.
  • After that time, you can’t answer Maybe. A Maybe you gave earlier stays until the time Maybe ends for the event.
  • Saying Out withdraws a request that’s still waiting.
  • An answer your coaches set for you counts at once, even after the answer-by time: it never waits for anyone’s approval.

For coaches: choose the time for your team under Rosters › More › Team settings › Answers by: no deadline, or from two hours to three days before each event. Until you choose, your team follows the club’s default, which our admins set under Club setup › Features › Answer-by times (no deadline, at first). For an event shared by several teams, answers close at the earliest of those teams’ times. For one event, open Answers for this event under Coach tools (see For coaches).

Your home page

Once you’ve logged in on a phone or computer, the home page at kmceagles.org becomes your own. It skips what visitors need to know about the club and shows what matters to you, in one column, from top to bottom:

  • First, when there’s something to decide: how your profile shows on the public site, until you’ve chosen (see Public profile); Playing in next season?, while we’re asking (see Next season); and Get set up, the steps that make the website work for you (a passkey, notifications, your public profile choice, a photo, an emergency contact, a phone number and the group chat). Each step has a button, and the list stays until everything’s done or you press Hide this list. If you’re new and your coaches named a mentor for you, the list also says Your mentor (see Mentors for new players).
  • Your next event: when and where, In and Out, how many have answered and, once they’re set, your duty, your ride and your spot in the line-up.
  • Waiting for you: any overdue dues and polls, then the other events you still have to answer, with In and Out.
  • Also in the next two weeks: the rest of your events in the next two weeks, with your answers. Each event appears only once on the page, so this part disappears when the ones above already cover them all.
  • Sub opportunities: up to four other teams’ events you can play in, with the ones whose coaches are asking for subs first, each with Offer to sub. All opportunities opens the full list.
  • Help wanted: up to four other teams’ events with a duty open to the whole club that still needs someone, each with Take it (see Help wanted). See every open duty opens the full list on Sub opportunities.
  • Inbox: your three newest notices, with the unread ones marked.
  • Your team: the next game, the last result, the record and the place in the league table, with links to the roster, the schedule and the team calendar, and Team chat when your team has a group chat on the website. Our club chats follow under Club chats (see Group chats).
  • Your season: your answers and attendance so far, and the club’s leading scorers.
  • Club news and the Newest Eagle.

If you coach, you also see the Coaches’ desk. For the next event of each of your teams, it shows how many skaters and goalies are In, how many are Out and still to answer, players offering to sub, whether the line-up is published, and duties nobody has taken. Admins see the Admin desk, with open profile requests, the club’s overdue dues, and how many players on this season’s rosters have no login yet.

As everywhere on the website, point at a name to see its card: a team, a rink, an opponent, your driver. On the Coaches’ desk, point at Skaters in, Goalies in, Out or Awaiting for the names behind the figure, and at the number of players offering to sub to see who they are. On the Admin desk, each figure names the people it counts: who’s asking to join, who hasn’t answered about next season yet, whose profile requests are open, who owes dues and who has no email yet. In the Inbox list, point at a notice to read its first words.

The page opens straight away with what you saw on your last visit, then brings everything up to date a moment later, all at once, so nothing jumps while you read. If it can’t bring the page up to date, for example without a connection, it goes on showing what you saw last time and tells you so. Your phone or computer keeps that saved copy only while you’re logged in, so log out when you’re done on a shared one.

See the public home page, at the bottom, shows you the page as visitors see it, for that one visit. Once you log out, the home page is the public one again.

While our admins have The members’ home page turned off (Club setup › Features), your home page is the public one, with your menu and your own pages as always. Everything it showed you is still on the website: your events under Your events, what waits for you in the menu’s Waiting for you and your Inbox, other teams’ events under Sub opportunities, your team on its page, and your season under Your stats. The first cards (how your profile shows, the club’s rules, next season’s question and Get set up) move to You, under For you to do.

Your own pages

You is the first group under Your pages in the menu, and its heading opens your own page at kmceagles.org/you/. Each of your pages has a card there that tells you where things stand:

  • Inbox: how many notices you haven’t read yet. See Inbox.
  • Your profile: anything you’ve asked for that’s still waiting for an admin, or what you could still add, such as a photo. See Your profile.
  • Your stats: how many of this season’s events you were In for. See Your stats.
  • Your dues: what you owe, if anything. See Your dues.
  • Settings: whether this phone or computer has notifications turned on. See Settings.

While our admins have the members’ home page turned off, For you to do comes first on this page, with the cards that page would show you: how your profile shows on the public site, the club’s rules to agree to, our question about next season while we’re asking it, and Get set up.

Below the cards, Group chats lists your teams’ chats and the club’s, each with a button to join (see Group chats). Club equipment lists what you hold from the club and any request of yours still waiting, with a button to borrow from the club (see Club equipment). Logging in shows who this phone or computer is logged in as, with Sign-in settings, Not you? and Log out. To log in on another phone or computer, open the website there and choose Log in.

Your profile, Your stats and Your dues appear once your login is linked to your player or coach profile. If they’re missing, ask one of our admins.

Your events

Your events, the first tab of the Schedule, lists your practices, games and tournaments with your answer beside each one. The line above the list shows how many events are coming up and how many you still have to answer, such as 2 events to answer, with the events you were added to as a sub counted separately (Added as a sub: 1 to answer). These count the next two weeks, as the red numbers on the menu and on the buttons at the bottom of a phone’s screen do; the to answer filter under More shows everything further ahead too. Press either one to open a window listing those events, each with In and Out. An event stays in the window after you answer it, so you can work down the list and change an answer before you press Done. The home page has the same line and the same window. The line ends with a link to your stats.

List, Week and Month sit above your events, and Day and Year are in More › View. In the calendar views, your events carry the same marks as on the schedule: In, Out, Maybe, ? and Wait. Other teams’ events you’ve offered to sub for show up there too, marked Sub.

Answer several at once

Select the events, then press In or Out in the bar that appears at the bottom. Where one of your events allows Maybe, the bar has Maybe too; it answers Maybe for those that allow it and leaves the others as they were.

The More menu

  • Events: all events, to answer, In, Maybe (where one of your events allows it) or Out.
  • Team and Type: one of your teams, and games, practices or tournaments.
  • Order: soonest first, or to answer first.
  • View: a list, or a day, week, month or year calendar.

The whole schedule is on the next tab, All events, and other teams’ events you can play in are on Sub opportunities. Your other pages are in the menu, under Your pages.

Who’s logged in, Not you? and Log out are in the menu, which you open on every page by pressing your photo or initials.

Settings

Settings keeps everything you set once and change now and then on one page. Open it under You in the menu, or at kmceagles.org/you/settings/. On a phone or tablet, the page opens with Go to a section, a list of every section, so any of them is one tap away; further down, the line under the breadcrumbs names the section you’re reading and opens the same list. On a computer, the list sits beside the sections. Search finds a section by name too. Each section saves on its own:

  • Sign-in: how you log in. It shows your email address (only our admins can change it); your passkeys, one for each phone, computer or password manager, with Add a passkey to this device, Rename and Remove (when you remove one, delete it on the phone or computer itself too); Google and GitHub, which you can link even if their email differs from ours, and unlink; and every phone and computer you’re logged in on, with this one marked and how and when you logged in. Log out ends one, and Log out on all other devices ends all but this one.
  • This device: notifications on this phone or computer (see Notifications on your phone), and Count on the app’s icon, which shows the red number from your menu button on the app’s icon too. It’s on until you turn it off.
  • Notifications: what we tell you and how, when reminders come, and your quiet hours (see Notifications on your phone).
  • Your time zone: the club’s until you choose one, and whether you see event times in it.
  • Away dates, when you’re on leave, on TDY or moving.
  • Be a sub: a standing offer to play for other teams.
  • Skate sharpener, if you bring one to the rink.
  • Photos of you: whether we may publish club photos that show you.
  • The club’s rules, once our admins have written them.
  • Your calendar: your own events in your phone’s calendar.
  • Leaving the club, when you move away.
  • Your data: download everything we keep about you, or delete your login and all of it.
  • Your menu: arrange the menu that opens when you press your photo or initials, the way you use it. Move its sections up and down with Up and Down, or untick one to leave it out (your photo and name stay at the top, and the language, this guide and Log out at the foot); add your most-used pages to Favorites, a section of their own; put You, Schedule, Teams and Club in your own order under Your pages; untick links you never use; and choose a short menu, which leaves out the short description under each link. Each change saves straight away and applies on every phone and computer you use. Put the menu back as it was undoes all of it, and Arrange this menu, at the foot of the menu, brings you here.
  • Help on the pages: turns the round i buttons and the explanations under the pointer off, or back on. The names of buttons that show only a symbol still appear, and this guide stays at the foot of the menu. A second switch turns the cards under the pointer off or on, and under it, coaches and admins can choose whether a player’s card shows their attendance this season. A third switch turns the single-key keyboard shortcuts off or on. Your choices follow you to your other phones and computers.

To change your profile, open Your profile under You. If your login isn’t linked to a player or coach profile, Settings shows only Your menu and Help on the pages, and your choice applies only to the browser you’re using.

Your time zone

Every event’s times are written as the clocks show them where it’s held: German time for our own events, and an event abroad (a tournament in the United Kingdom, a trip to the United States) in its own time zone, with the zone’s short name after its times (GMT, EST). Settings › Your time zone sets your own:

  • Time zone: the club’s until you choose another, from the list or with Use this device’s. Your quiet hours and your daily summary follow it, so a member at home in the United States isn’t woken at night.
  • Show event times in my time zone: every event’s times then show on your clocks, on the schedule, the event pages, your home page and the calendar views. An event’s page keeps its own time one tap away: press Show the time there to see it as the clocks show it where it’s held, and Show your time to swap back. The cards that open on a link to an event show both.
  • Without that box ticked, an event’s times stay as the clocks show them where it’s held, with the zone’s short name wherever it isn’t yours.
  • Your time zone is part of your data: it’s in the file Download your data saves (see Your data), and we delete it when you delete your data.

While our admins have Members’ own time zones turned off (Club setup › Features), Settings has no Your time zone, which means your quiet hours, daily summary and event times follow the club’s time zone. We keep the time zone you chose, and it applies again once our admins turn this back on. An event abroad always shows its own local time.

Away dates

Going on leave or TDY, or moving? Enter your away dates once instead of answering every event.

  1. Open Settings (under You in the menu) and go to Away dates.
  2. Choose the first and the last day, add a note if you like, such as “Leave” or “TDY”, and press Add away dates.
  3. Every one of your events on those days is now Out, with “Away” next to your name. Events your coaches add later on those days become Out too.

You can still answer In for a single event. That answer stands, and the “Away” note comes off it. Remove deletes the away dates. Events you hadn’t answered yourself then go back to Awaiting response, while the answers you gave yourself on those days stay, without the “Away” note. A note you wrote yourself stays as it is.

Away dates also take back your offers to sub for those days, both Offer to sub pressed on another team’s event before you entered the dates and a standing offer under Be a sub. Those events tell you you’re away on that date, and the coaches no longer see your offer. If you can play after all, press Offer to sub on the event again.

Leaving the club

Moving away, for a PCS or anything else? Under Settings › Leaving the club, enter Your last day with the club and, if you like, A farewell for your profile, which shows once you’ve left. Press Save. We tell your coaches and our admins straight away, and again a week before your last day. Your events after that day are set to Out, and the day after it, you’re marked as having left your team. You can still log in for 30 days to sell gear or settle dues, and then your login closes. Your profile stays among the former Eagles. Some time after your login closes (six months, unless our admins chose otherwise), we delete your email address, linked accounts, passkeys, phone number, birthday, emergency contact, notification choices and devices, saved views and menu. Your seasons, attendance and the club’s records of your games stay. Back with us later? An admin restores you and enters your email again. Plans changed? Press Staying to take the date back, as long as your last day hasn’t passed. While our admins have Leaving the club turned off (Club setup › Features), Settings has no Leaving the club, which means you can’t give your last day on the website: tell your coaches or our admins instead, and they take you off the roster. If you gave your last day before it was turned off, we keep it, but nothing happens on that day until our admins turn it on again: your events aren’t set to Out, and you aren’t marked as having left.

Once you’ve given your last day, Before you go lists any of the club’s equipment you have, which you need to bring back to our equipment manager. We tell them what you have straight away and again a week before your last day, and a week before, we remind you too, with the list. It also offers two things. You can write a testimonial for the public pages. And you can send our admins a note on what we should keep doing and what we should change. Only they read it, and if you tick Send it without your name, it keeps no link to you, so nobody can tell who wrote it (and nobody can reply to it either). You can send up to three notes.

Next season

Before a new season, we ask who’s playing. While we’re asking, your home page shows Playing in with the season’s name. Answer Yes, No or Not sure yet and, if you like, add the team and number you’d like and a note. You can change your answer until the closing day, and if you haven’t answered, we’ll remind you two days before it. Your coaches and our admins see the answers. If you say No, you won’t be carried over onto next season’s roster.

Your data

Under Settings › Your data, Download your data saves a file with everything we keep about you: your login, answers, attendance, offers, rides, comments, dues, notices, profile choices, your photo choices and agreements to the club’s rules, the documents you added and private details, the club equipment you borrowed and asked to borrow, and the changes our admins, coaches and the website made to your account (the club’s activity). Delete your login and data removes your login and everything we keep about you, and logs you out, once you type DELETE to confirm. It can’t be undone. Tick Also take your profile off the public pages to hide your profile too. Dues already charged stay with the club until they’re settled, and your name stays on past rosters and game sheets, which are the club’s history. An admin can’t delete their own login this way, so another admin does it for them. When you leave the club or an admin archives your login, we delete your contact details by ourselves some time later (six months, unless our admins chose otherwise; see Leaving the club).

While you’re logged in, a gold banner at the top of the page lists any event in the next two weeks that you haven’t answered. On a computer it shows on every page but your home page; on a phone it shows in your Inbox, and everywhere else the red number on Events and the Answer needed marks on the event cards tell you instead.

  • One event: press In or Out (or Maybe, where the event allows it) right in the banner.
  • Several events: Answer now opens Your events with only those events showing.
  • Overdue dues: when you have no events to answer, the banner shows what you owe, with How to pay.
  • A new announcement: when you have no events to answer and no overdue dues, the banner shows the newest announcement from your coaches or the club, with Read it.
  • A poll for you: when there’s none of the above, the banner shows a question from your coaches or the club, with Vote.
  • Subs wanted: when you have nothing of your own to answer and another team is asking for subs in a position you play, the banner shows Subs wanted, with Offer to sub or See them.

The ✕ hides the banner for this visit. It comes back when something new needs an answer, and everything it shows stays in your Inbox. When you come back to the app on your phone, the banner brings itself up to date.

Our admins can turn the banner off for the whole club or for a team, and a team’s coaches choose it for their own team under Rosters › More › Team settings › Reminder banner. You see it while any of your teams has it on. Without it, you still find the events you have to answer under Waiting for you in the menu, counted on the menu button, and in your Inbox.

Who is coming

Every one of your event pages shows the numbers and the names:

  • The numbers at a glance: skaters In, goalies In (in red when no goalie is In), the waiting list if there is one, Maybe where the event allows it, Out and still to answer. Wherever else the website shows the numbers, those In split into skaters and goalies too. An event card, for example, reads “20 in · 8 out · 5 awaiting”, with “18 skaters, 2 goalies in” under it.
  • In, Maybe (where the event allows it), Out and Awaiting response, each with its players, their notes, and “set by” where a coach answered for them.
  • Players added from another team, marked Sub from their team, and guests from outside the club, marked Outside guest. Guests from outside the club are In; only the event’s own players, our coaches and our admins see their names.
  • Subs available: players from other teams who’ve offered to play and aren’t on the list yet, with their team and positions.

Only the players on the event’s list, our coaches and our admins see the names, notes and offers to sub. Everyone else sees only the numbers.

When the coaches publish a line-up, it appears on the event’s page with your own spot marked.

A New badge beside a name marks a player who joined us in the last few weeks. Say hello.

Markers on event cards

The cards of your upcoming events carry small symbols beside their tags, one for each extra the event has, such as notes, comments, rides or duties. They appear wherever an upcoming event shows: the Schedule’s views and its calendar pop-up, the home page, the menus, team, rink and player pages, the window of events to answer, the subs waiting for approval, and the top of the event’s own page. Point at one, or tap it on a phone, to read its tip. Press it, or tap it again, to open that part of the event page (on the event’s page itself, it takes you to that section).

  • Goalie needed and Goalie found (coaches and admins only): the event is short of goalies and we’re asking (the red number counts the goalies still missing), or we found one. A click opens Subs under Coach tools. See Goalie asks.
  • Notes: the event has notes from the coaches, and the tip shows how they begin. Only logged-in members see notes.
  • Comments: how many there are, with the newest. A red number counts those written since you last read the thread.
  • Rides: drivers and free seats, and how many players are looking for a ride (the red number).
  • Duties: each job and who has it. The red number counts jobs nobody has taken yet.
  • Line-up: the coaches have published one, and the tip gives your spot.
  • Live stream: the event will be streamed. The tip says on which platform and from when, and the symbol turns red while it’s live.
  • Video: the event’s page has a video.
  • Skate sharpening, Arrive by, Dressing room and Waiting list, where our admins have added them under Club setup › Features.

A symbol in our club red is about you: your car, your seat, your duty, your spot in the line-up, your place on the waiting list. The same tips appear on the event’s card that opens when you point at a link to the event. Coaches and admins see markers on every event. Visitors see only the notes, the arrive-by time, the dressing room, the live stream and the video. While our admins have Markers on event cards turned off for all of your teams, your event cards show no symbols; everything they would point to is still on each event’s page.

The waiting list

Some practices and games have a player limit, such as 20 skaters, when we share the ice or the rink sets a maximum. Goalies don’t count toward the limit. The event’s page shows the limit next to the numbers.

  • The first players to say In are In. Once the limit is reached, In puts you on the waiting list, in the order players said In. The event’s page, Your events and the event’s other listings on the website show your place.
  • When a player who’s In drops out, the first player on the waiting list moves up, and we let them know a spot has opened for them, in the Inbox and on their phone, as they chose under Notifications.
  • Pressing In again, or changing your note, keeps your place. Saying Out or Maybe and then In again puts you at the end of the waiting list.
  • Players on the waiting list don’t get a reminder before the event until they move up.
  • Team players first. A team may put its own players before guests: players added from another team, and guests from outside the club. The waiting list then says Team players first, the team’s players wait before the guests, each in the order they said In, and a team player who says In takes the spot of the last guest In. That guest is first on the waiting list again, and we let them know.

Duties

Many of our teams share small jobs, such as bringing the drinks or the pucks and keeping score. On the page of each of your events, Duties lists these jobs and who’s doing each one.

  • Press Take it to take an open duty, and Hand it back to give yours up.
  • Some duties need more than one person. Bench helpers: 1 of 2, for example, means one of its two places is taken. Press Take a place to take a free one; there’s one place for each of you.
  • The reminder you get before the event lists your duty (“Your duty: Drinks”), and Your events shows it beside the event.
  • A coach may also give you a duty. It then shows who gave it to you, and we let you know.
  • If you say Out or Maybe, your duty goes back on the list so someone else can take it, and your coaches hear that it’s open. The same goes for your spot in the line-up, your car or your seat in someone else’s, a sharpening you asked for, and a sharpener you said you’d bring. They’re gone for good: if you say In again, nothing comes back by itself, so take on again what you still want. While you’re Out or Maybe, you can’t take a duty.

Our admins set each team’s usual duties. Coaches can add other duties for a single event.

Help wanted

Some duties are open to the whole club, such as the timekeeper, the scorekeeper or the penalty box at a team’s home game. Anyone with a profile can take one, whatever their team, so an Eagles II player can keep the clock at an Eagles I game.

  • Where to find them: under Help wanted on Sub opportunities and on your home page, and on the event’s own page. Each event lists its open duties with Free, 2 of 2 places free or Yours.
  • Take it (or Take a place, for a duty that needs more than one person) makes it yours at once. Give it back hands it back if you can’t come after all. Both work until the event starts.
  • The event’s coaches see your name and team on its duty list, and hear when you take a duty or give it back. So do its players, as for any duty.
  • You have nothing to answer, as you’re not on the event’s list. You still get the reminder before the event with your duty (“Your duty: Timekeeper”), at the time you chose for reminders, and news of a change or a cancellation. The event shows under Your duties for other teams on Your events, on your home page if it’s your next event, and in your calendar.
  • The duties of your own team’s events are on those events’ pages. Where you’re on the list, you take an open duty like any other, and saying Out or Maybe hands it back.
  • If you’d like to hear about open duties, turn on Help wanted under Notifications. We then tell you three days before another team’s event that still needs someone, once per event. It’s off until you turn it on.

Rides

Every event’s page has a Rides section for sharing cars to away games and practices. Only the event’s players, our coaches and our admins see it. There are no messages here, only who’s driving, from where and when, and who’s riding with whom. Sort out the details among yourselves.

  • Offer a ride: open Offer a ride or ask for one and choose Offer a ride. Give the number of free seats, where you’re leaving from and when, then press Save. The form closes, and your car appears with its free seats.
  • Ask for a ride: choose Ask for a ride and say where you can be picked up. Drivers then see your name under Looking for a ride.
  • Change next to your car or your request opens the form again, so you can change the seats, the place or the time. Close shuts it without saving. No longer needed takes your request back.
  • Press Take a seat to join a car that has a free seat, and Give the seat back if your plans change.
  • Drivers press Pick up next to someone looking for a ride, Remove next to a rider to free a seat, and Stop offering to take the car back. Remove and Stop offering ask you to confirm first, and the riders are then listed as looking for a ride again.
  • Notifications: we let you know when your ride changes: when a driver picks you up, changes the time or the place, removes you, or stops offering the car. Drivers hear when someone takes a seat or gives one back, including a rider who says Out or Maybe. Notices that fall in your quiet hours wait until they end. Choose how you hear about rides under Notifications.
  • Your reminder lists who’s riding with you, or whose car you’re in, and when you leave. Your events shows the same details beside the event.
  • Answer In first. A player who says Out or Maybe leaves the car: a driver’s car is gone, and their riders are looking for a ride again. Saying In again brings neither back, so offer the ride or take a seat again.

We clear the rides a day after the event.

Comments

Every practice, game and tournament page has a short Comments thread under the attendance, for a quick word about the event: “Bring the white jerseys”, “Warm-up starts at 17:30”, “Great game, everyone”. Only the event’s players, our coaches and our admins see it. Each game of a tournament has a thread of its own on its page, beside the tournament’s.

  • Write: type in the box under the thread and press Post, or Ctrl or Cmd with Enter. A comment can be up to 500 characters, and the box counts down as you near the end.
  • Reply: press Reply under a comment to answer it there. A box opens under the comment; write your reply and press Post reply, or Ctrl or Cmd with Enter. Cancel or the Escape key closes the box. While it is open, what you write stays in it, even when new comments arrive as you type. Your reply shows under the comment it answers, set in from the left, with the other replies in the order they came. A reply to a reply goes in the same thread, under the first comment, and says whom it answers (“Replying to Anna”), so that a thread stays easy to follow on a phone. A reply has the same limits as a comment.
  • Who wrote it: beside each comment and reply is the writer’s photo, or their initials when we have no photo you may see. You see the photo a player shows on their public profile, and your own; our coaches and admins see the photo of every player’s profile, as on the rosters. Press the photo or the name to see the player’s card, with their number, positions and team, and a link to their profile. Someone with no profile on the public pages, such as an admin who doesn’t play, shows only initials and a name.
  • Change and Delete sit under your own comments and replies. A changed one says edited. If you delete a comment that has replies, your words and your name go, and the replies stay under the words “This comment was deleted.” so that they still make sense; that line goes once its last reply is deleted. The event’s coaches and our admins can delete any comment or reply.
  • The newest ten comments show, replies counted, each with its whole thread, and Show the earlier comments brings back the rest.
  • Replies are on unless our admins turn them off under Club setup › Features (Replies to comments), for the whole club or for one team. With replies off there is no Reply, and the replies written before stay under their comments.
  • Who may write is our admins’ choice, under Club setup › Features, for the whole club and, if they like, for each team: the event’s players and coaches, only its coaches and the admins, or nobody. When comments are off, the threads are hidden.
  • Notifications: you hear about new comments on your events as you chose under Notifications. By default they go to your Inbox, with one entry an hour for a busy thread. When someone replies to a comment or a reply of yours, we tell you about that reply on its own (Replies to your comments), in your Inbox and as a notification unless you choose otherwise; its link opens the event’s page at the reply, which is marked for a moment. You’re never told about your own replies.
  • You can comment until a week after the event, and we delete the comments two months after it. For a longer conversation, use your team’s group chat.

Skate sharpening

Teammates who own a skate sharpener can sharpen skates at the rink. Each game, practice and tournament page has a Skate sharpening section, which the event’s players, our coaches and our admins can see. Nothing is paid through the website and there are no messages. The section shows who’s bringing a sharpener, on what terms, and whose skates they’re taking.

  • Ask for a sharpening: open Bring a sharpener or ask for one and choose Ask for a sharpening. Give the number of pairs and, if someone’s bringing a sharpener, who should do them (or Whoever can), then press Save. Or press Add your skates beside a sharpener. Change, beside your name, updates your request or your terms, and No longer needed takes your request back.
  • Bring your sharpener: choose Bring a sharpener, and add your price and how to pay you (for example “€5 a pair” and “Cash at the rink or PayPal”). Your name appears with your terms, and players can choose you.
  • Sharpeners press Take beside someone asking, Let go beside a player to hand their skates back, and Not this time to leave the event. Let go and Not this time ask you to confirm first, and the players are then listed as asking again.
  • Every event at once: under Settings › Skate sharpener, set your price and how to pay, and tick the teams and kinds of event you bring your sharpener to. You’re then listed as bringing a sharpener at each of those events you’re on, unless you say Out or Maybe, or press Not this time on that event. Saying Out or Maybe counts as Not this time: if you say In again, choose Bring a sharpener there to come back. No longer have one takes you off the skate sharpening list of every event, and we let the players who chose you know.
  • Notifications: we let a sharpener know when someone asks them or no longer needs them, and a player when their skates are taken or handed back, or a sharpener is coming. Notices that fall in your quiet hours wait until they end. Choose how you hear under Notifications.

We clear the skate sharpening list a day after the event.

Player of the game

Where your team has it, everyone who came to a game votes for its best player. Our admins turn it on for the club or team by team, and your coaches can turn it on or off for your team.

  • Who votes: the players your coaches marked as having come (on time or late) or, if nobody was marked, those who said In. You vote for one of the others who came, never for yourself.
  • When: the vote opens when the game ends, and stays open for 24 hours, or for as long as your team chose (12, 24, 48 or 72 hours). We let you know when it opens.
  • How: on the game’s page, under Player of the game, choose a player and press Vote. You can change your vote until it closes.
  • The result: once the vote closes, everyone sees the player of the game (on a tie, everyone with the most votes shares it), and we let you know. Where your team chose so, you also see how many votes each player had; otherwise only coaches and admins see the counts.
  • Your votes are secret. Nobody sees who voted for whom, not even the coaches.
  • A tournament’s games: each game has its own vote on its own page, among those who played in that game.

Your stats show the games this season in which you were voted player of the game. Choose how you hear about the vote under Notifications (Player of the game, under Your events).

Milestones

We mark a few moments worth a word, once each, from the club’s own records:

  • A fifth season with the club, and a tenth: we count your seasons on our rosters on the website, plus any earlier years with the club that your profile names (the year you joined).
  • A first goal, a first hat trick (three goals in one game) and, for goalies, a first shutout (a finished game sheet with no goal against), from the game sheets.

Your milestones show on your profile for every member, and on Your stats under Awards and milestones. Your team hears of each in one short Inbox notice, and so do you. Choose how you hear of them under Notifications (Milestones, under Club): the Inbox only, to start with. Our admins turn milestones on or off for the whole club, or let each team decide; then the team’s coaches turn them on or off under Rosters › More › Team settings.

Notifications on your phone

We can tell you about your events on your phone or computer, even when the website is closed: a reminder before each event you said In for, a reminder of the events you haven’t answered yet, and the notices you choose, such as a new event, a change of time or rink, or a ride. Most of what we tell you also comes to your Inbox. The reminders (before an event, for events to answer and for a Maybe) come only as a notification, unless you choose otherwise under Settings › Notifications.

Our admins can turn Notifications on phones and computers off for the whole club (Club setup › Features). While they’re off, nothing comes to a phone or computer, and what you chose to get as a notification comes to your Inbox instead, so you miss nothing. Under Settings, This device says that notifications are off, Notifications offers only Inbox and Off for each kind, and quiet hours and the daily summary aren’t shown, since they apply only to notifications. We keep your choices, and they apply again as soon as our admins turn notifications back on.

Turn them on

  1. Open Settings (under You in the menu) and go to This device.
  2. Press Turn on notifications, and allow notifications when your phone or browser asks.
  3. Press Send a test. The page tells you whether the test reached this phone or computer and, if it didn’t, why.

You turn notifications on separately on each phone or computer, so do this on every one you use. Turn off on this device stops them on that one only. What you get is the same everywhere, and you choose it under Notifications.

Choose what you hear

Under Settings › Notifications, every kind of notice has three buttons: Inbox, Notification and Off. Inbox and Notification each turn on and off separately, so you can have either one, both or neither:

  • Inbox: the notice waits in your Inbox. Reminders to answer come with In and Out right there.
  • Notification: a notification on the phones and computers where you turned notifications on.
  • Both: press Inbox and Notification so both are lit, and you get the notification and find the notice in your Inbox too.
  • Off: lit while neither is on. Press it to turn both off. If you turn announcements off, or choose Notification only for them, they no longer show in your Inbox. Coaches and admins still find them on the Announcements page.

The kinds come in groups:

  • Your account: Sign-in and security (a passkey added, a Google or GitHub account linked, a sign-in on a new phone or computer, your login email changed by an admin), with when it happened and on which device; and Your roles (made a club admin or a coach of a team, or no longer). Sign-in and security always stays in your Inbox, so its Inbox button is lit and can’t be turned off; you choose only whether a notification comes too. If a sign-in wasn’t you, open Settings › Sign-in, press Log out on all other devices, and tell our admins.
  • Your events: the reminder before an event you’re In for, events still to answer, events you said Maybe for (where your team allows Maybe), new events, changes and cancellations (a new time, rink, arrive-by time, dressing room or opponent, in plain words such as “Now be there by 18:30” or “Dressing room 3”; a cancellation; and an event removed from the schedule, if you’d answered), Answers set for you (a coach answered In, Out or Maybe for you, with their name), Event notes (your coaches add or change an event’s notes: “New note on Practice: Bring dark jerseys”), the waiting lists (a spot opened for you, or a lower player limit moved you from In to the waiting list), your coaches’ answer when you asked to join after an answer-by time, your duties (given to you, or given to someone else), the line-up (published, and your place on it when it changes: “You’re on line 2 now”), the vote for the player of the game and its winner (where your team has it), comments on your events, Replies to your comments (someone answers a comment or a reply you wrote; one for each reply), and Tournament trips (an organiser puts you in a room or moves you, the meeting point or time changes in the three days before a trip, or your share of the cost goes on Your dues; organisers also hear when someone says Out and gives back their bed).
  • Subs and rides: being called up to another team’s event or taken off it again, subs wanted that fit your offer, Goalie needed (for members who play goalie: a team of the club needs a goalie; see When a team needs a goalie), subs no longer needed, the coaches’ answer to your offer (on standby, or not needed this time), Help wanted (a duty open to the whole club that still needs someone three days before another team’s event; off until you turn it on), rides, and skate sharpening.
  • Club: announcements, polls, dues (a new charge, a payment recorded, a charge changed or withdrawn, and the reminders), the team kitty (an entry made for you, where your team has one), club equipment (an item lent to you or taken back, your request declined, and once when something is past its day), Jersey and kit orders (the kit orders open, and your order is ordered or has arrived), Your teams (added to a team’s roster or taken off it), group chats, the gear exchange and your profile.
  • For coaches (coaches and admins only): late Outs (a player changing from In to Out in the last 24 hours before an event), a duty or line-up spot opening because a player said Out or Maybe, few players In a day before an event, players asking to join after an event’s answer-by time (with any players on standby named first), sub offers, Goalie asks (still no goalie when we ask a second time, or the first goalie to offer was added; see Goalie asks), Help wanted: duties taken and given back (a member from outside an event’s list takes a duty open to the whole club, or gives it back), Notes on answers (a player writes or changes the note on their answer, such as “late, from work”; one entry per player and event, kept up to date), Things to finish (the morning after an event where nobody marked who came; a day before a game with no line-up published; an hour before standby ends), your players’ birthdays, if the club collects them, and Your game reports (on the News page, or sent back with a note; see The game report).
  • For club admins (admins only): profile change requests, Game reports to publish, and The club’s year (a yearly job is due; the treasurer gets the one for the season’s charges, and the jersey coordinator the one that opens the kit orders; see The club’s year).
  • For the equipment manager (our equipment manager and our admins): Lending the club’s equipment, a member asking to borrow an item, and a member who holds some giving their last day with the club, and again a week before it.
  • For the jersey coordinator (our jersey coordinator and our admins): Kit orders to handle, a member sending, changing or canceling a kit order.
  • For webmasters (only our two webmasters, whom the website recognizes by their login email addresses): The website, the health watch’s notices when something on the website stops working, and Back to normal. Like Sign-in and security, it always stays in the Inbox; you choose only whether a notification comes too.

Each choice saves straight away. Until you change them, the reminders (before an event, for events to answer and for a Maybe) come as a notification only. The quieter kinds come to your Inbox only: your roles, event notes, the line-up, final scores, the player of the game, the team kitty, club equipment and lending it, comments, subs wanted, polls, sub offers, notes on answers, things to finish, birthdays, your game reports, milestones, club documents, your feedback and testimonial, What’s new, and most notices for admins and club roles. Help wanted is off until you turn it on. Every other kind comes both as a notification and to your Inbox. Something that changes several times in a row, such as a line-up a coach saves three times, keeps one entry in your Inbox, brought up to date, and sends no second notification within a few minutes. You’re never told of a change you made yourself.

Every kind at once

Above the list, Every kind at once sets every kind with one press:

  • Everything: our usual choice for each kind (the one each starts with).
  • Just my events: the reminders before your events as a notification, and changes to your own events (a new event, a change or cancellation, an answer set for you, event notes, a waiting list, your duty, the line-up, being called up, your ride) as a notification and in your Inbox. Everything else goes to your Inbox only. Coaches also get late Outs, duties handed back, few players In and requests to join as notifications.
  • Inbox only: everything in your Inbox with no notification, except the reminders before your events, which still come as a notification.

The choices for each kind below change at once to match, and a line says what changed. Your quiet hours, reminder times and daily summary stay as they are, and Sign-in and security (and the webmasters’ The website) keeps its own choice. Change any kind by itself afterwards, and Custom shows; choosing a preset again asks first, as it replaces your own choices. Our admins choose the preset new members start with (Everything, unless they choose otherwise). They can also turn the presets off, which means Every kind at once doesn’t show and you set each kind one by one.

Daily summary

Under Settings › Notifications › Daily summary, tick A notification each evening and choose the hour (19:00 unless you choose otherwise). Each evening we then send one notification listing what came to your Inbox that day for the kinds you keep in the Inbox only, such as “Today: a new poll, a ride change, and 2 more”. Press it to open your Inbox. Nothing comes on a day with nothing new. If the hour falls in your quiet hours, the summary waits until they end.

Your teams

If you play on or coach more than one team, Settings › Notifications › Your teams lists them, all ticked. Untick a team, and we send nothing about its events in general (new events, changes, notes, comments, line-ups, subs wanted and the coaches’ reminders), nor its polls and announcements. What is about you still comes: your duty, your spot, an answer a coach set for you, your ride, being added to or taken off an event, and the reminders for events you said In for.

When

  • Before an event: how long before an event you’re In for the reminder comes: 1, 2, 3 or 6 hours, or a day before. It’s three hours unless you choose otherwise. The reminder tells you when to be there, the dressing room, your duty and your ride.
  • Events to answer: how many days before an unanswered event we remind you of it: 1, 2 or 3 days, or a week before. It’s two days unless you choose otherwise. One message covers all of them.
  • Quiet hours: no notification comes between these hours, and it waits until they end. They run from 22:00 to 7:00 unless you choose otherwise, so the reminder for an early event arrives at 7:00. Choose the same hour twice for no quiet hours.
  • Maybe: the reminder for an event you said Maybe for comes once, the day before (on the day itself, for a Maybe given that late).

You won’t get a reminder before an event you’re Out or Maybe for, or while you’re on its waiting list.

Answer from the notification

A notification about one of your events carries In and Out buttons on Android phones and on computers: Are you In? for a single event, Coming up, a new event, a change of time or place, a spot from the waiting list, being added to another team’s event, and the reminder for an event you said Maybe for. Press one to answer without opening the website; a short note then says what you answered. A request to play in goal carries I can play and Not this time instead. If your answer can’t be saved, the event’s page opens instead. iPhones don’t show buttons on website notifications, so there a tap opens the event.

On an iPhone or iPad

Apple only allows notifications in the app on your home screen (iOS 16.4 or later):

  1. In Safari, tap Share, then Add to Home Screen.
  2. Open the Eagles app from the home screen and log in there (see Log in).
  3. Turn notifications on in the app.

When you log in through Safari on an iPhone or iPad, a message at the foot of the page tells you once that notifications need the app on your home screen. Show me how shows the steps.

If the test reached your phone but no notification appeared, swipe down from the top of the screen to see your notifications. Also check that Focus or Do Not Disturb is off and that notifications for Eagles are allowed under Settings › Notifications on the phone. iPhones sometimes hold back a notification from the app until you open the app again. That delay comes from Apple, not from us.

Subs: play for another team

Want more ice time? Offer to sub for another team’s practices, games and tournaments.

Offer for one event

Press Offer to sub on the event wherever it appears on the website, on the event’s page, or on Sub opportunities (a tab of the Schedule, and under Schedule in the menu). Once you’ve pressed it, the button reads Offered, in green. Press Offered to take your offer back. Sub opportunities lists the other teams’ practices, games and tournaments in the next eight weeks, and any further ahead whose coaches are asking for subs: first the ones whose coaches are asking, then the rest by date, with Practices, Games and Tournaments to narrow the list. Your home page shows the first few.

Offer for a whole team

Open Settings › Be a sub and select a team’s Games, Practices or Tournaments. Your offer then covers every one of those events. To leave out a single event, press Offered on that event’s page. The button then reads Offer to sub again, and the coaches no longer see your offer for that event.

When a team needs subs

When coaches ask for subs, Subs wanted appears at the top of Sub opportunities, on Your events, on your home page and in the reminder banner, with a note of what they need. If your standing offer covers the event, or they need a goalie and you play in goal, we’ll also let you know. Where a team has chosen so, the website also asks for subs by itself when the team is short of a goalie (see below) or of the skaters it needs (“We need 2 skaters”); we then tell the players whose standing offer covers the event and whose positions fit.

When a team needs a goalie

If your profile lists Goalie, we may ask you to play in goal for another team of the club. When a team is short of goalies for a game or tournament (or a practice, where the team chose so), we ask the club’s goalies who are free at the time: not on that event’s list, not away, and not In for another event at the same time. The request comes as a notification and in your Inbox: “Goalie needed: Eagles I vs Mannheim”, with the team, the opponent, the day, the time and the rink. Your home page shows it under Waiting for you, and Sub opportunities lists the event first, marked Goalie needed.

  • I can play offers to play in goal, like Offer to sub. The coaches then answer your offer as below. Some teams add the first goalie to offer straight away: then we tell you that you’re In, or that another goalie offered first and you’re on standby.
  • Not this time tells us you can’t. We won’t ask you again for that event.

If you don’t answer, we may ask once more, nearer the start. We ask at most twice for an event, never in your quiet hours and never after the start. Once the team has its goalie, your Inbox entry says so, and there’s nothing to answer. To get no such requests, set Goalie needed to Off under Notifications.

What happens next

The event’s players, our coaches and our admins see your offer, with your number, team and positions. The coaches answer it in one of three ways, and we let you know each time:

  • Added: they need you. The event then shows up in Your events marked Added as a sub. Answer it like any other event.
  • On standby: they may need you, and tell you by a set time, a few hours before the start (“You’re on standby for Practice, Thu 23 Oct. We’ll tell you by Thu 12:00 whether we need you.”). Your card and the event’s page say On standby. You can still take your offer back. If they don’t call you up by then, we tell you that you’re not needed this time.
  • Not needed this time: the team has enough players. Your card and the event’s page say so, and you can’t offer again for that event unless the coaches take their answer back. A standing offer stays as it was for the team’s other events.

When the coaches stop asking for subs, or don’t need them any more, those who offered and those we told of the request hear that subs are no longer needed. An event whose coaches chose No subs needed says This event isn’t taking subs.

You can offer to sub for any team event that hasn’t started and isn’t canceled.

Team kitty

Some teams keep a kitty for small contributions and fines, such as a monthly amount or a fine for being late to practice, and spend it on the team, such as drinks after a game or the end-of-season party. Our admins turn it on for a team, and the team’s coaches choose one or more kitty keepers. No money goes through the website: you pay a keeper in person, and they record it.

Team kitty (under Teams in the menu, kmceagles.org/teams/kitty/) shows:

  • At the top: what’s in the kitty, what was paid in and what was spent.
  • Your part: what’s entered for you, each with its date, and whether you owe the kitty or have money in credit. Only you, the kitty keepers, your coaches and our admins see it. Your dues shows it too.
  • Spending: what the kitty paid for, with the date and the amount. It names nobody.
  • Contributions and fines: the team’s list, with what each costs.
  • Kitty keepers: who to pay.

When a keeper or a coach enters something for you, we tell you in your Inbox. Choose how under Notifications (Team kitty, under Club). If you’re on several teams with a kitty, choose the team at the top of the page.

Gear exchange

The Gear exchange (kmceagles.org/club/gear/, under Club in the menu and in the Club menu of the header) is where our members sell or give away the hockey gear they no longer need. Only logged-in members see it, and nothing is paid or sent through the website.

  • List an item: press List an item, choose the kind (skates, sticks, helmets, pads, goalie gear and more), say what it is, and give the size, the condition, a price in euros or Free, a few details and a photo. Press List it, and every member can see it.
  • Find something: search by brand, size or kind, and narrow the list to one kind of gear, to free gear or to gear for sale. Lowest price first puts the bargains on top.
  • Express interest tells the owner who you are. Nobody sees your phone number or email address, and there are no messages, so settle it in person at the rink. Press it again to take it back.
  • Your listings are at the top of the page, with the names of everyone interested. More lets you reserve an item for one of them (we let them know), mark it sold or given away (we tell the others who were interested), make it available again, keep it listed for 30 more days, or delete it. Change corrects the details, the price or the photo, and we tell those interested about a new price.
  • A listing ends by itself after 30 days. We remind you three days before, and Keep listed gives it another 30 days. We clear away ended and sold listings 30 days later.
  • A listing can’t include phone numbers or email addresses.

Polls

Coaches can ask their team short questions, and our admins can ask the whole club: which night suits the party, which jersey color to choose, who’s driving to the tournament.

  • Open Polls under Club in the menu, or in the Club menu of the header (kmceagles.org/club/polls/). A poll you haven’t answered also appears on your home page and in the gold banner.
  • Open polls come first. Tap your choice and it’s saved straight away. Where several choices are allowed, select each one. You can change your vote until the poll closes, or press Take back your vote.
  • Closed polls follow, with their results.
  • You see how many people chose each answer. Names appear only if the person who asked the question chose to show them.
  • We let you know about a new poll for you, and remind you the day before a poll you haven’t answered closes.
  • Polls have no comments.

Inbox

Inbox (under You in the menu, kmceagles.org/you/inbox/) keeps everything we’ve told you, so nothing is lost when you close the banner or a notification. It’s laid out like an email inbox.

  • Waiting for you, at the top, lists what still needs an answer: events (press 2 events to answer to answer them in a window), polls, overdue dues, and other teams asking for subs.
  • Each notice is one line, newest first and grouped under Today, Yesterday, This week and Earlier: a red dot while it’s unread, what kind it is, its title, its first words and when it came. Point at the time for the full date.
  • Press a notice to open it in place: the whole text, who sent it, its link and its buttons. Opening it marks it read. Mark as unread keeps it waiting for later. Press it again to close it.
  • Inbox, Unread and Archive sit above the list. Under them, From and To narrow whichever tab you’re in to the notices that came between two dates; Clear the dates shows them all again. More shows one kind of notice, marks them all as read, archives every notice you’ve read, or opens every notice shown. Coaches and admins also find Post an announcement there, with every announcement and its history, and everyone finds Choose what we tell you.
  • Quick actions sit on each notice’s line, so you rarely need to open it. A notice about one of your coming events, such as a new event, a change of time or a reminder, has In and Out right there (and Maybe, where the event allows it), as on the event’s card; for another team’s event that needs subs, Offer to sub; for a request to play in goal, I can play and Not this time. Any other notice has the one thing it leads to: Join the chat, Polls, Your dues, Open the event and so on.
  • Archive moves a notice out of your Inbox and into the Archive tab, grouped by month, and marks it read. Undo, at the bottom of the screen for a few seconds, brings it back; so does Move to Inbox in the Archive. Marking a notice read or unread offers the same Undo. An announcement that has ended stays in your Archive until you remove it.
  • On a phone, swipe a notice to the left to archive it, or to the right to mark it read or unread. A short swipe springs back and does nothing.
  • On a computer, point at a notice and Archive and Read (or Unread) appear on its line.
  • Select several at once: press and hold a notice on a phone, or choose More › Select notices. Tick the ones you want, then press Read, Unread or Archive in the bar at the bottom. Select all ticks every notice shown, and Done ends it.
  • Announcements come from your coaches (for your team) and from our admins (for a team or for everyone). The club announcement at the top of the website is here too, and closing it there also marks it read.
  • Our other notices tell you about your events (a new event, a change of time or place, a cancellation, a place from the waiting list, a duty given to you, a published line-up, a game’s final score), subs, rides, skate sharpening, polls, dues, group chats, the gear exchange and your profile, as you chose under Notifications. A group chat’s link opens the chat so you can join it. Admins also hear about new profile requests and inquiries to join, which wait on Requests.

The red number beside Inbox in the menu, and on the Inbox tab on a phone, counts your unread notices. They also count toward the number on your photo or initials. You can’t reply in the Inbox, so to answer an announcement, talk to whoever posted it. Notices about an event stay until the day after it, other notices for 30 days, and announcements until their last day. Notices you archive stay a year. Coaches and admins keep every announcement, with who has read it, on the Announcements page.

What's new

When we add something to the website, a short What’s new note comes to your Inbox, once, saying what changed for you and where to read more: players hear of what’s new for players, coaches of their new tools, and our admins and the treasurer of theirs. We send a note about a feature only if the feature is turned on for you, and only in its first month on the website. Choose how it reaches you under Settings › Notifications, What’s new on the website: your Inbox only, to start with. Our admins turn the notes off under Club setup › Features › What’s new in the Inbox.

Feedback and bug reports

Under You › Feedback, send our admins an idea, a bug report or any other feedback about the website.

  • What it is: choose Idea, Bug report or Other, give it a short title and, if you like, the details: for a bug, what you did, what you expected and what happened.
  • The page: if you came from another page, it’s filled in for you. Change it or leave it empty.
  • A screenshot: press Choose a picture, or on a computer paste one with Ctrl V (⌘ V on a Mac). You can add one picture per report, and we shrink it before it’s sent.
  • Where it stands: your reports are listed under the form, each New, Planned or Done, with the admins’ answer when they write one. Your Inbox tells you when one changes.
  • Who reads it: our admins, on this page and by email. You can delete your own reports at any time. We delete a report a year after it’s marked Done, and its screenshot three months after.

Admins see every report here, with who sent it, the page and the kind of phone or computer. Open one to set Where it stands and write an answer, then press Save. New reports show on the Admin desk of your home page.

Your testimonial

Under You › Your testimonial, write a few sentences about the club for people who are thinking of joining. They appear on the Testimonials page and the home page.

  • How it names you: choose Full name, First name only or No name (“A player”), and whether your team shows. You can also show the photo from your public profile, if it has one, but a photo never goes with No name.
  • How it will look: the card under the form shows it the way the Testimonials page will.
  • Who reads it first: one of our admins, who publishes it. They may fix a typo, but they’ll never change what you mean. Your Inbox tells you when it’s on the website.
  • Changing it: new words go to an admin again, and the website shows your earlier words until then. A change only to how it names you shows straight away.
  • Deleting it: press Delete it, and it comes off the website straight away.

Admins publish testimonials under Club › Testimonials to publish (a red number shows how many are waiting). Open one to Publish it, Don’t publish it or, for a change to a published one, Keep the published words. A short note tells the writer why, and they can change it and send it again. Highlight puts a published one at the top of the Testimonials page and on the Club page, and Take it off removes it. Testimonials sent through the contact form are still added by hand in Pages CMS, under Testimonials.

Group chats

The club and each team can have group chats, in WhatsApp or any other app. We put their links on the website, so you can join with one tap and nobody has to add you by hand.

  • Join a chat: every chat meant for you is on Group chats (kmceagles.org/club/chats/, under Club in the menu). Your team’s chats are also on your home page (Team chat on your team’s card), under You and on your team’s page, and the club’s chats are on your home page under Club chats. Press the button to open the chat in its app.
  • Only logged-in members see the chats: the chats of the teams whose roster you’re on this season, and the club’s. Coaches also see the chats for coaches (the one for every coach, and their own team’s coaches-only chat), and admins see the admins-only chat. Nobody else sees these.
  • When a chat is added, we let you know, with the link to join. Choose how you hear under Notifications.
  • The website only links to the chats. It sends nothing to them and reads nothing from them.

Look after a team’s chats: coaches look after their own team’s chats, and admins every team’s, further down the same Group chats page under The chats you keep (also reached from More on Rosters). Open Add a group chat and choose under For whether it’s for the whole team or only the team’s coaches. Give the chat a name, paste its invite link, add a note if you like, and press Add the chat. To get the link in WhatsApp, open the group, tap its name, then Invite via link and Copy link. Any app’s invite link works. The people it’s for see the chat straight away, and we let them know. Change corrects it and Remove takes it off the website. If you reset the link in WhatsApp, change it here too. Admins keep the club’s own chats under Club setup.

Club documents

Club documents (kmceagles.org/club/documents/, under Club in the menu) holds the files our members need, such as the club’s rules, the insurance certificate and forms, sorted into groups. Only logged-in members see it, and each of you sees the documents meant for you: those for every member, your team’s, and, for coaches and admins, theirs. Press a title to open it in a new tab, or Download to save it. When a document is added for you, we let you know in your Inbox. Choose how under Notifications.

For admins: press Add a document, give it a title and, if you like, a few words about it, choose its group and who sees it (every member, one team, the coaches, or the admins), choose the file and press Add the document. A file can be a PDF or a picture (JPEG, PNG or WebP) of 1 MB at most, and all the club’s documents together can take up 25 MB. The page shows how much is used. Change beside a document renames it, moves it to another group, changes who sees it or replaces the file, and Delete is in the same window. In Club setup, you name the groups and choose who adds documents: club admins only, or coaches too, for their own teams.

Your calendar

The team calendars (Schedule › More › Calendars) show all of a team’s events. Your calendar shows only your own, with your answer at the start of each title: In, Out, Waiting list or Answer needed.

  1. Open Settings and go to Your calendar.
  2. On your phone, press Subscribe to the calendar. Or press Copy link and add the link to your calendar app as a subscription.
  3. Your calendar app then checks for changes on its own schedule: Apple’s within a few hours, Google’s sometimes only once a day.

The link is yours alone: anyone who has it can see your events and answers. New link makes the old link stop working.

While our admins have Personal calendars turned off for your teams, Settings has no Your calendar, and a calendar app already subscribed shows no events, only a note for the day that says the calendar is turned off. Keep it in your app if you like: your events come back to it by themselves once our admins turn personal calendars on again. Or remove it from your app.

Your profile

Your profile (under You in the menu, kmceagles.org/you/profile/) is where you change your photo and the parts of your public profile our admins let members change. At the top are your photo, your name, your number and team, and View your public profile. The parts follow, each one reached from the list beside them: Photo, On the public site, Hockey and about you, Private details and Your requests.

Our admins decide, field by field, who can change what. A line at the top of Hockey and about you says what applies to most fields, and a field with a different rule says so beside its name (point at it for more):

  • Changes at once: what you change shows on your profile as soon as you save.
  • A club admin approves: what you change goes to our admins, who accept or decline it. Until then, the field shows what you asked for, under Waiting for a club admin, and you’ll hear in your Inbox once they’ve decided.
  • Club admins only: you can’t change it here, so ask for it under Ask the club admins for something else.

Your photo

Press Choose a photo and pick one from your phone or computer. Drag it, or use the arrow keys, until your face sits in the middle of the square, and use Zoom to bring it closer. Then press Use this photo. A clear photo of your face, from the front, works best. A new photo shows in the rosters straight away and on your profile page within a few minutes. Where an admin approves photos, it shows once they have. Remove the photo shows your initials instead. Once you have a photo, it also takes the place of your initials on the menu button and at the top of the menu.

Hockey and about you

Hockey holds your usual number, the hand you shoot with and your positions. About you holds your nickname, the country you represent, your hometown and a few words about yourself. Change whatever you like. Save changes lights up as soon as something has changed, and stays at the bottom of the screen until you save or press Discard changes. If you try to leave the page with unsaved changes, you’ll be asked first. Your profile is public, so never put an email address, a phone number, a rank or a unit in it. Your coach sets the number you wear on each team’s roster, so ask your coach if you’d like to change it.

Ask the club admins for something else, under the fields, opens a note for anything you can’t change yourself, such as the spelling of your name. It goes with your next Save changes.

On the public site

You choose how your profile shows to visitors: Your full profile; Your name, number and position only, with no photo, hometown or words about you; or Not on the public pages, so only logged-in members see your name, on the team lists and at events. Choose on your home page the first time you log in, or later under On the public site on Your profile, and press Save the choice. We record your choice and its date. Until you choose, your full profile shows on the public site, unless one of our admins has already set it otherwise for you. Whatever you choose, your coaches and teammates still see you on the members’ pages.

Private details

If the club collects them, your phone number and birthday are here. They never appear on the public site, and only you, our coaches and our admins see them. Your coaches use your number to reach you and to add you to the team chat, and they hear about your birthday on the day. If we let members fill in their own, give the number you use for WhatsApp, with its country code (+49 for Germany, +1 for the United States), and your birthday, then press Save the private details. Leave a field empty to remove it. Otherwise, one of our admins fills them in.

Emergency contact: if the club collects emergency contacts, add someone your coaches can call if you’re hurt at the rink: their name, how they’re related to you, and their phone number with its country code. Only you, our coaches and our admins see it, and at an event, only that event’s coaches see it, and only if you said In. We keep no medical details. While our admins have Emergency contacts turned off for all of your teams, you can’t see or change your emergency contact here, and your coaches can’t see it. We keep what you gave us, and it’s listed under Your data; it shows here again once our admins turn emergency contacts back on.

Your requests

What you’ve asked the admins for is listed at the bottom, with what became of each: Waiting for a club admin, Done or Declined and, where an admin decided field by field, which changes were accepted and which were declined. You can have three waiting at a time. You’ll also find a notice in your Inbox when an admin has handled one.

For coaches

As a coach, you have everything our players have, and you see who’s coming to every club event. On the page of each event for your own teams, you also find Coach tools, which only that event’s coaches and our admins see. The pages for coaches are under Tools in the menu. Your teams there holds Rosters, Attendance, Add an event, Rinks, Add players and coaches and Announcements. On an event’s page, Tools also lists that event’s coach tools, and Next event you run takes you straight to the coach tools of your next event. A team manager has the same tools for the teams they run, as far as our admins allow (see Team managers and the treasurer).

Add and change events

You add, change and cancel your own teams’ events right here on the website. Admins can do this for every event, and only admins can delete one. Each change shows everywhere straight away: the schedule, the event’s page, the home page, Your events and the calendars. We let the players on the event’s list know when it’s moved, canceled or brought back.

  • Add an event: press Add an event beside the Schedule’s title (on a phone, the calendar with a plus), on any of its tabs, or choose it in your team page’s More menu, under Coaches. Choose the kind of event, your team, the date and times, and the rink. A practice or a game doesn’t need a title. For a weekly practice, choose Every week and the last date.
  • Change or cancel: on the event’s page, open Change or cancel under Coach tools, or choose Change or cancel this event in the More menu. Change the time, the rink, the dressing room, the player limit, the notes, or the Live stream link and Video link (from any platform), and press Save the change. Cancel this event keeps it on the schedule, struck through, so phone calendars show the cancellation too. Restore this event brings it back.
  • One date of a weekly practice: choose This date only for one week’s change, such as a later start, or This date and the later ones for the rest of the season. The answers already given stay with each date.
  • The final score: once a game has started, its event page offers Enter the final score. If the game sheet was kept, its score is filled in for you, and a final sheet can put it on the schedule by itself (see The final score). Our admins choose who publishes game reports under Club setup › Features › Game reports: An admin publishes with one press (as it starts) or Coaches publish at once (see The game report). For a tournament’s game, choose the game first.
  • Time zone: nearly always, leave it on As the rink (or As the club, for a rink without a time zone of its own): the event then follows its rink’s time zone where the rink has one, as a rink abroad does, and otherwise the club’s. Choose a zone only for an event abroad at a rink without one of its own. Type the start and end as the clocks show them there. Members see those times, with the zone’s short name (GMT, EST), and reminders, answer-by times and the calendars use them too. A weekly series has one time zone.
  • Competition: for a game or a tournament, we choose it for you: League for a game of a team in a division (Friendly for a team without one) and Cup for a tournament. Change it for a Playoff, a Cup game or a Friendly. A team’s league record counts only its league games, its record counts every game, the season recap names the playoff results and head-to-head marks the friendlies. A tournament’s games take the tournament’s competition, and all the dates of a weekly series share one competition. Add many events gives each event the usual competition for its kind.
  • A tournament’s games: for a tournament, list its games under Games to give each one a page of its own, with its line-up, game sheet, player of the game and comments. Add a game adds a row: enter the other team, the day, the start time and, if you know it, the end, and choose a rink if the game isn’t at the tournament’s rink. More about game 1 holds home or away, the dressing room, when to be there, notes, the live stream and video links, and This game is canceled, and the rest of the tournament goes ahead. Leave them empty and the game takes the tournament’s. Remove takes a game off. On a game’s page, Change or cancel this game opens this form at that game. Players still answer once for the whole tournament (see Tournaments with several games and A tournament’s games, game by game).
  • Every change is recorded with your name, under Changes to this event, so an admin can see it and put it right.

A tournament's games, game by game

Each game of a tournament has its own page, and the Coach tools there are that game’s own: its line-up, its game sheet, Who came, Player of the game, the emergency contacts and Change or cancel this game. The tournament’s own tools stay on the tournament’s page: setting answers for players, subs, guests, the costs, the trip and the changes to the event. A line at the top of Coach tools on a game’s page says so, with a link to the tournament.

  • Who came, for one game: from 30 minutes before a game starts, mark who played in it. The games played on the stats, the vote for the player of the game and the games played the line-up shows for fair ice time follow these marks. Until you mark a game, the tournament’s own Who came counts for it, or, where nobody was marked, the players who said In, so if everyone played every game you don’t need to mark each one. The tournament’s Who came still counts for attendance, once, as one event.
  • Player of the game: each game has its own vote, which opens when that game ends. Under Player of the game in a game’s Coach tools, choose A vote for this game or No vote for this game to change it for that game alone.
  • The final score and the game report: each game takes its own score, and a game report written from its game sheet links to the game’s page.

Add and change rinks

Coaches and our admins add and change the rinks and venues we play at right here on the website, so a game at a new rink never waits for Pages CMS. A team manager can too, while our admins give them the team’s events. Every change shows at once: on the rink’s page, on the Rinks page and the Rink map, and on the page of every event at the rink.

  • Find the rinks: choose Add and change rinks in the menu under Schedule, or in Tools. Each rink shows its type, its events to come and past, and whose they are. No map pin means the rink’s page has no map and the Rink map leaves the rink out. No safety facts yet means nobody has filled in the nearest emergency department or where the first-aid kit is. On a rink’s own page, Change this rink opens it.
  • Add a rink: press Add a rink. While you add an event, Add a new rink, under the rink’s list, does the same and chooses the new rink for the event, so you never leave the form. Give the name players know it by, the type of venue, the country and the address. The rink’s page address is made from the name and stays the same if you rename the rink later.
  • The map pin: when you save, we look the address up on the map and put the pin there. Press Find the address on the map first to see where it goes, and Check the pin on OpenStreetMap to look. When we can’t find the address, or the pin is in the wrong place, paste a link to the place from Google Maps or OpenStreetMap under Place the pin from a link, or type its two numbers, and press Use the link. If the map search doesn’t answer, the rink is saved without a pin, and the website’s next update adds it a few minutes later.
  • The rest: the time zone (leave it on As the club, except for a rink abroad in another zone, whose events are then typed and shown as the clocks show them there), the venue’s website, a Google Maps link for Get directions, notes for visiting players such as parking and the dressing rooms, and In an emergency: the nearest emergency department and where the first-aid kit and the defibrillator are, filled in only once someone has checked them at the rink. Only our admins choose our home rink.
  • Delete a rink: open it and press Delete the rink. A rink no event uses goes at once, after you confirm. When events use it, past or future, we say how many and whose, and you choose the rink to move them to: we move them and delete the rink in one change, and the players on the lists of the events still to come hear that the rink changed. A coach can delete a rink only when every event that uses it is one of their own teams’. Otherwise the window says whose events use it, and that team’s coaches or one of our admins can delete it. Only our admins delete the home rink, once they have marked another one. An old link to a deleted rink’s page leads to the page that says it can’t be found.
  • Every change is recorded with your name, and our admins see it in the club’s activity under Rinks and venues.

Changes to an event

Every event keeps a record of its changes. On the event’s page, open Changes to this event under Coach tools. It lists every change since the event was added, newest first, with who made it and when, on the website or in Pages CMS. Under each change you’ll see what it changed, one line each, such as “Start: 21:15 to 20:45” or “Rink: Zweibrücken Ice Rink to Eppelheim Icehouse”. The last fifteen changes show this detail. A weekly practice is a single entry, so its record covers all its dates. To find an event, use the Schedule’s All events tab. Its More menu narrows it by team and kind of event, and List, Week and Month let you see it the way you like. Our admins can turn this record off under Club setup › Features › Changes to an event; Coach tools then has no Changes to this event.

Rosters: change your team's roster

You change your own team’s roster for this season right on the website. Admins change every team’s roster and name each team’s coaches. Each change shows everywhere straight away: the team’s page, the league roster, Leadership, the player’s profile and the menus. A player you add can answer the team’s events right away.

The Teams pages for coaches and admins share one layout: the title with its More menu, the tabs (Rosters, Attendance, Game stats, and for admins Requests), a row where you choose the team and search for a player, and under it a line that counts the players shown (forwards, defense, goalies and logins).

  • Open the roster: choose Rosters under Tools, or Change the roster in your team page’s More menu. Choose the team in the row at the top, or All teams, and the page remembers your choice for next time.
  • Another season (admins): choose it under More › Show › Season, or press a team’s name under a season in Club setup › Seasons. A line above the list says which season you’re changing, with Back to this season. Every change then goes to that season’s roster, and Add players and coaches adds to it too. Adding a team’s first player starts its roster for that season.
  • The row at the top and the line under it: choose the team, and find a player by name, number, email or phone number. On a phone the row stays at the top while you scroll, so you can always search. Under it, each figure is a button: press forwards, defense, goalies, logged in or with no email yet to list only those players, and Show everyone to list them all again. On a phone the figures sit on one line; slide it sideways to see them all.
  • The order: players are listed by position, in groups (Forwards, Defense, Goalies, then the coaches), each with its count and in jersey order. On a phone, a group’s heading stays at the top while its players scroll by. To list them by number, name or login instead, choose More › Show › Sort by.
  • On a phone, each player takes one short line: the number, the name, and under it the columns you chose, in small type. The … button at the right opens a small window with what you can do for that player: Invite, Add email (admins) and Change. On a computer these buttons stand at the end of each row.
  • More › Show narrows the list by position, login (logged in, not logged in yet, no email yet, notifications on), status (playing, injured, taking a break) or contact (with or without a phone number, or a birthday this month). The line under the row then says how many players show, with a chip for each filter, Forwards × for example: tap one to take that filter off, or press Show everyone.
  • More › Choose the columns shows any field of a profile beside the number and name, in four groups: on the team (position, captaincy, status, teams, seasons with the club), the profile (nickname, shooting side, country, hometown, when they joined, usual number, how they show on the public site, photo, about them), the login (login, role on the site, notifications) and the private contact details (email, phone number, date of birth, emergency contact). Fewer columns and Every column set them in one step. We keep your choice with your login, so your phone and your computer show the same. With many columns, slide the list sideways to see them all. Point at a column heading to see what it shows, and on a computer, press it to sort. Phone numbers, dates of birth and emergency contacts appear only where we collect them (Club setup › Profiles).
  • More › Save this view keeps the team, the filters, the order and the columns under a name, and each saved view opens again from More on any phone or computer you use.
  • More › Share this view copies a link (on a phone, it opens the share menu) that opens the same team, filters, order and columns. It only works for coaches and admins.
  • More › Print this view prints the rows and columns shown as a table across a landscape page, with the type as large as fits every column. With many columns it gets smaller, but never below a readable 6 points. The Photo column shows each player’s profile photo. Download as a spreadsheet saves the same for Excel, Numbers or Google Sheets, and Download with every detail saves every field. Use these details for club business only, and delete downloaded files once you no longer need them.
  • More › Select players puts a tick box on each row in place of the number, and a bar at the foot of the screen. Tick players by tapping their rows, or press Select all. Then Copy emails copies their addresses for the Bcc line of an email, so nobody sees the others’ addresses; Invite opens WhatsApp with a message that tells them where to log in, to send to them or to the team’s chat; and Contact cards saves them for your phone’s contacts, so you can add the players to a WhatsApp group from there. Press Done when you have finished.
  • All teams lists everyone playing or coaching this season, and the players not on a team yet, the same way, so you can reach a sub from another team. Not rostered lists only those who aren’t on a team this season. On All teams, coaches can’t change anyone: to change a player’s number, captaincy or status, choose the player’s own team. Admins can press Change on All teams too.
  • Add a player or name the coaches on Add players and coaches, under More › Go to.
  • Change a player: press Change beside the name, set the number, the captaincy (Captain or Alternate captain) and the status (Playing, Injured, Taking a break or Left the team), and press Save. Two players still on the team can’t wear the same number. A new captain takes over from the old one, who stays on the roster. For admins, a name opens the person’s window (see Everyone).
  • A player who has left: choose Left the team. They stay in the team’s history and on their profile, and move under Left the team at the bottom of the list, where Bring back returns them. Take off the roster is only for putting right a mistake.
  • Login: each player’s line says whether they’re Logged in, Not logged in yet (we have their email, but they haven’t logged in) or have No email yet. Sort by Login to put those who can’t log in first. Invite, for a player who has an email but hasn’t logged in, opens a WhatsApp message that tells them where to log in, with Copy message for another app. It holds no password or key, so you can send it again at any time. Admins add the emails: where a player has none, their Email column shows Add email, which opens their window ready for you to type it.
  • Reach your players: tap a phone number to call, WhatsApp to open a chat, or an email to write. Birthday today shows on the day, and we let you know about your players’ birthdays too.
  • Group chats: More › Go to › Group chats opens the page where you keep your team’s chats (see Group chats).
  • More › Team settings holds your team’s own choices for this season: whether your players can answer Maybe (where our admins let each team decide) and when Maybe ends; when standby ends for subs you put on standby (2, 4, 6, 12 or 24 hours before the start; until you choose, your team follows the club’s choice, six hours unless our admins changed it); and how a final game sheet’s score becomes the game’s final score. It also holds your choices for answer-by times, the waiting list, goalie and skater subs, Help wanted, the reminder banner, line-ups, the player of the game, the team kitty, new players and their mentors, milestones and, where our admins let coaches see them, the team’s costs, each described in its own section of this guide. Each change saves at once.

Instead of asking an admin to type every player’s email address, share your team’s join link. On Rosters, choose your team, open More and press Team join link (admins have every team’s). The window shows the link, with Copy and Share on WhatsApp: post it in the team chat. Players on the team who can’t log in yet open it, pick their name and give their email address. The page lists only those players, by first name and surname, and never shows who has an address already.

Each request comes to Requests, under Asking to log in, for the team’s coaches and our admins, and we let you know (Settings › Notifications: Players asking to log in). Approve puts the address on the player, who can log in at once, with a code by email, Google or GitHub, and then add a passkey. If another member already logs in with that address, we say so and you can’t approve the request: decline it, or ask the player for another address. Decline turns the request down and deletes the address it gave. If the link has been shared outside the team, press Make a new link: the old link stops working at once. Then post the new one in the team chat.

Add players and coaches

Add players and coaches (kmceagles.org/teams/add/, from More on Rosters or under Tools) adds players to a team’s roster for this season and names its coaches. Coaches add players to their own teams, and admins to every team. Only admins name the coaches.

  1. Choose the team at the top.
  2. Add a player to the roster: choose the player. The list holds everyone on the website who isn’t on the roster, grouped by where they are now: not on a team yet, former Eagles, or on another team. Their usual number is filled in, so change it if they wear another one here. Choose Captain © or the alternate captain if they are one, and press Add to the roster. Someone new needs a profile first, which an admin adds on Everyone.
  3. Coaches: admins choose the head coach and add the assistant coaches, then press Save the coaches. Coaches see who their team’s coaches are, but only admins can change them. A team’s coaches change its roster and its schedule, and see its players’ contact details.

Set answers for players

Open Set answers for players. Filter the list or find a player, then press In or Out for them, or Maybe where the event allows it. Use this for players who told you their answer another way, or who can’t log in yet. Their answer shows “set by” with your name until they answer themselves. A Maybe you set gives up their duty, line-up spot, ride and sharpening, as an Out does. To take an answer back, press the chosen answer again, and the player goes back to Awaiting response.

Our admins can turn this off under Club setup › Features › Set answers for players, for the whole club or for one team. While it’s off for an event’s teams, the event’s page still shows every player’s answer, with who set it, but Coach tools has no Set answers for players, which means nobody can set an answer for a player or take one back, coaches and admins included. Players answer for themselves as always, and the answers set before stay as they are. A few things still put a player In or Out, because they belong to other features: approving a request to join after answers close, adding a sub who offered, away dates and a waiting list.

Maybe for this event

Open Maybe for this event to let one event differ from its team: Maybe on or off, and when it ends. Press Save, and your players see the change at once. Maybe explains the choices.

While our admins have Maybe off for every team, no event takes Maybe, which means Coach tools has no Maybe for this event, and the event’s page lists no such part. The choice you made for the event is kept, and holds again once our admins let the teams use Maybe. While our admins leave Maybe to each team, the panel stays, so you can still turn Maybe on for one event.

Answers for this event

Open Answers for this event to see the players who said In after the event’s answer-by time, oldest first, each with their note. Approve puts the player In (or on the waiting list, in the order they asked), and Decline keeps their answer as it was; either way we let them know. Below, choose when answers close for this event: As the team chose, No deadline, from two hours to three days before the start, or At a time I choose, a date and a time before the start, and press Save. A time already past closes answers at once. If the event moves, a time in hours moves with it, and a time you chose stays where it is, unless the event now starts before it. Requests also wait for you under Waiting for you in the menu and on your home page, and we let you know of each one. For an event without coaches, such as a whole-club event, our admins answer these requests.

Call up a player from another team

Open Call up a player, find the player and press Add. The row says Added straight away, and you can keep adding players one after another. The event then shows up in each player’s Your events, marked Added as a sub. Invite, where Add was, opens WhatsApp with a message ready for that player. Players you’ve called up are listed under From another team, below the event’s own players, and Remove takes one off the event.

Our admins can turn this off under Club setup › Features › Call up a player, for the whole club or for one team. While it’s off for an event’s teams, Coach tools has no Call up a player, which means nobody can call up a player to the event, and no player hears of a call-up. The players called up before stay on the event and can still answer Out, but nobody can take them off until it’s on again. You can still add a player who offered to sub, with Add under Subs or in your Inbox, as long as Subs is on for the event.

Guests from outside the club

Someone who isn’t a member can play too, such as a friend visiting for one game. Open Guests from outside the club, type the guest’s name, choose Skater or Goalie, and press Add the guest. They have no profile and no login, and never answer: they’re In from the moment you add them, counted with the skaters or the goalies, and marked Outside guest. Where the event has a player limit, a guest counts toward it like a player you set In, and goes on the waiting list once the limit is reached. You can put them on the line-up and on the game sheet. Remove takes them off again, out of the line-up, and the game sheet keeps their goals without the name.

Only the event’s own players, our coaches and our admins see the name. A shared line-up, the season’s stats and everything else other members see call them Guest. We delete guests’ names when we delete the season’s other attendance details. Guests aren’t members, so their names aren’t in anyone’s data download.

Subs

Open Subs to see every player who’s offered to sub, with their number, team and positions, and either when they offered or the standing offer that covers the event. The offers come in three groups, and each has its buttons on one line:

  • Waiting: Add puts the player on the event’s list (we let them know). Standby keeps them in reserve: we tell them at once, with the time standby ends, and the offer leaves Waiting for you. Decline thanks them and tells them the team has enough players this time; they can’t offer again for this event unless you take it back.
  • On standby: Add, Decline, or Undo to put the offer back with those waiting. Standby ends a few hours before the start (six, unless your team or our admins chose otherwise under More › Team settings on Rosters). An hour before standby ends, we remind you who’s on standby. When it ends, we tell those still on standby that they’re not needed this time.
  • Declined: Add, Standby, or Undo to put the offer back with those waiting.

You can move an offer between the groups until the event starts. When your team is short, the panel and our notices name the players on standby first (“On standby: Ann A, Ben B”), so you can call them up before anyone else is asked. Subs you’ve added stay in this section with their answer. You can also answer an offer from your Inbox: its Sub offer notice carries Add, Standby and Decline, and once any coach has answered, it says what was done and by whom. The home page’s Subs waiting for you lists the same three groups.

To ask for subs, describe what you need in your own words, such as “One goalie and a defenseman”, and press Ask for subs. Players from other teams then see Subs wanted with your note until you press Stop asking. When you stop, those who offered and those we told of your request hear that subs are no longer needed.

No subs needed declines every offer still waiting or on standby (each player hears it once), stops any request for subs, and takes no new offers for the event; players see that it isn’t taking subs. Take offers again undoes it, and the answers already given stay.

Goalie asks

When your event is short of goalies, we ask the club’s free goalies to play, in two steps:

  1. When the time comes (two days before the start, unless your team or our admins chose otherwise), we ask every goalie of the club who is free: not on the event’s list, not away, and not In for another event at the same time. They answer I can play or Not this time from the notification or their Inbox. Other teams’ players also see Subs wanted: We need a goalie, posted by the website itself.
  2. The second time (a day before the start, unless you chose otherwise): if you still need a goalie, we ask those who didn’t answer once more, and tell you: Still no goalie, with a link to your Subs panel. If no goalie of the club can come, add one under Coach tools › Guests from outside the club.

We stop once enough goalies are In, and those we asked see that there’s nothing to answer. We never ask anyone more than twice for an event, never in their quiet hours and never after the start. If a goalie is on standby for the event, we name them to you first and ask nobody else while they’re on standby.

Under Rosters › More › Team settings › Goalie subs, choose:

  • Goalies needed: off, 1 or 2. Until you choose, your team follows the club’s default under Club setup › Features › Subs.
  • We ask: 6, 12, 24, 48 or 72 hours before the start, or a week.
  • For: games and tournaments only (the default), or practices too.
  • Ask again: when we ask the second time and tell you (a day before the start, by default), or Off to ask once.
  • When a goalie offers: Our coaches choose (the default): each offer reaches you, and you Add, Standby or Decline it as any other. Add the first one: we add the first goalie to offer to the event and set them In, tell you who is coming, and put the others who offered on standby. You can still add a second.

For one event, choose under Subs › Ask for a goalie by ourselves: as the team chose, off, or a number of goalies (for a practice too).

Goalie needed, at the top of Subs, says how the request stands: how many goalies are In, when we asked and how many, how many offered, and what comes next. Ask now asks at once, before the usual time, for example when you know your goalie can’t come; it also starts asking again after a stop, and nobody we asked already is asked again. Stop asking stops both steps for this event. The Stop asking beside the website’s request under You’re asking for subs does the same. Beside each offer, you see how often that player has subbed this season, so you can share the chances fairly. Your event cards carry a shield: Goalie needed, with the number still missing, and then Goalie found. Our admins see each Ask now, each Stop asking and each goalie the website added in the club’s activity (Club setup › Activity).

Skater subs

We can ask for skaters the same way. Under Rosters › More › Team settings › Skater subs, choose how many skaters your team’s events need, and how long before the start we check: by default, at the same time as we check for a goalie. Until you choose, your team follows the club’s default under Club setup › Features › Subs (off, at first). When an event is due to start within that time and fewer skaters than that are In, we ask other teams’ players to sub (“Subs wanted: We need 2 skaters”, posted by the website itself), and tell those whose standing offer covers the event and whose positions fit. The request changes as the numbers change, mentions a missing goalie too, and is withdrawn once enough skaters are In. Your own request for subs is never replaced, and Stop asking stops ours for that event. For one event, choose under Subs › Ask for skaters by ourselves: as the team chose, off, or a number of skaters.

Duties

Under Duties, each open job has a list of players, so choose who does it. A duty for more than one person has a list for each place. We mark the fair turn at the top of the list: a player who’s In, has no duty at this event and did this duty least recently, a different player for each place. Add a duty for this event adds a job for this event only, with how many people it needs (one to six); People needed changes that number later, and Remove deletes it. Our admins set each team’s usual duties under Club setup › Teams, where Bench helpers × 2 (or Bench helpers x2) asks for two people.

A duty marked Open to the whole club can be taken by a member of any team (Help wanted). Our admins open a team’s usual duties for its home games in Club setup › Teams. Tick Open to the whole club when you add a duty for one event, or later under its name; you can untick it once nobody from outside the event’s list has taken a place on that duty. Someone from another team shows on your list with their team, and you hear when they take or give back a duty. To take them off, choose Nobody yet, and we let them know. Under Rosters › More › Team settings › Help wanted, choose Our players only to keep your team’s duties to your own players, or Open to every team; As the club chose follows our admins.

Comments and replies on your events

As one of an event’s coaches, you can delete any comment or reply under it, as our admins can on every event. Deleting a reply removes that reply only. Deleting someone else’s comment that has replies removes the whole thread, the comment and every reply under it, because a comment you take off the page shouldn’t stay quoted in the answers to it; the confirmation says how many replies go with it. To keep the replies, delete only the ones you need to. A comment its own writer deleted shows as “This comment was deleted.” above its replies, and Delete the thread under that line removes them all. Each deletion of something another member wrote is recorded in the club’s activity, without the words. If your comments are for coaches and admins only, the players read the thread and its replies but can’t write or reply. Our admins choose who may comment, and whether members may reply, under Club setup › Features, for the whole club or for each team; see Comments.

Game sheet and report

Open Game sheet under Coach tools, after the line-up. You keep it the same way the scorekeeper does (see Game sheets), and you can also correct a final sheet. Under the sheet, Game report turns the finished sheet into a report for the News page (see The game report). If publishing from the website isn’t set up yet, the same place gives you a draft with the result, the scorers and the goalies’ saves. Press Copy the draft; anyone with Pages CMS access (usually our admins) can paste it into a news post there, under News.

Polls

Open Polls and choose Ask a question. Enter the question, the choices (one per line), your team and how long the poll stays open. Select Several choices allowed if players can pick more than one answer, and Show who chose what if everyone should see the names. Your players see it on the Polls page, on their home page and in the gold banner. Edit changes it (once someone has voted, only the question and the closing day), Close now ends it early, and Delete removes it with its votes. Only the person who asked the question and our admins can edit, close or delete a poll. Closed polls stay on the Polls page, with their results, for a month.

Until someone votes, Edit can change everything. After the first vote, you can still reword the question and change the closing day, but the choices, who’s asked and whether names show stay as they are, so the votes keep their meaning. A reworded poll says so, and a later closing day opens a closed poll again.

Announcements

Announcements (under Tools, or in the Club menu of the header, at kmceagles.org/club/announcements/) is where you write announcements and find every one you’ve written. Nothing is replaced or forgotten: each one stays on the page with its days, who posted it and who has read it.

  1. Press New announcement. Enter a title and the text, choose your team (admins can choose any team or everyone), and pick the first and last day to show it (the last day can be up to 90 days ahead). A first day after today schedules it, and the players see it from that morning. Also send it as a notification reaches the phones of players who turned notifications on, on its first day, outside each player’s quiet hours (22:00 to 7:00 unless they chose others). Players who chose Inbox only for announcements get no notification. The players see it in the Inbox and in the gold banner.
  2. The page lists the announcements under Showing now, Scheduled and Earlier (ended or canceled), newest first. Read by 12 of 20 opens who has read each one and when, who hasn’t, and who has no login yet. The count keeps up as members read while the page is open, so there’s no need to reload the page.
  3. Edit corrects an announcement, which then says “changed”, and no second notification goes out. Cancel takes it down straight away and keeps it here, and Restore puts it back as long as its last day hasn’t passed. Post again starts a new announcement with the same words. Delete removes it for good, along with the record of who read it. Whoever posted an announcement, and our admins, can change, cancel or delete it.

The Inbox also has Post an announcement, and Change or cancel on each of your announcements, both leading to this page.

Our admins can turn announcements off under Club setup › Features › Announcements to members. While they’re off, coaches and admins can’t send announcements, and members don’t see any in their Inbox or in the gold banner. This page still lets our admins change the announcement bar that shows at the top of every page of the website (see The announcement bar). Nothing is deleted: when announcements are on again, every one is back, with who has read it.

Player limits

A practice or game can have a player limit, which counts skaters only, not goalies. You set it on the event under Change or cancel this event, and our admins set a team’s usual limit under Club setup › Teams. Once the limit is reached, players who say In join the waiting list and move up by themselves when a spot opens (see The waiting list). An In you set for a player joins the same waiting list.

Waiting list order. Under Rosters › More › Team settings › Waiting list, choose In the order they said In or Team players first, where your own players come before guests from other teams and from outside the club. Until you choose, your team follows the club’s default under Club setup › Features › Player limits and waiting lists. For one event, open Waiting list under Coach tools. The event’s waiting list says which order it uses.

Share a reminder to the team chat

Share reminder, beside Awaiting response, makes a link with a picture of the players who haven’t answered yet. Send it on WhatsApp, copy the message or the link, share it through another app on your phone, or download the picture. The link shows the picture and a button to answer. It stops working three days after the event. While our admins have Sharing to the team chat turned off for your team, Share reminder, the line-up’s Post to the team chat and Share the trip aren’t there, and a link shared before opens a page that says sharing is turned off, with no list or line-up. You can still share an event page’s address with your phone’s own Share button.

Notify the players still to answer

Notify now, beside Share reminder, sends Are you In? at once to everyone on the list who hasn’t answered, as each of them chose under Settings › Notifications: a notification, an Inbox entry, or nothing if they turned those reminders off. Players in their quiet hours get it when the hours end. You can send it once every 12 hours for each event; the line under Awaiting response says when it was last sent and to how many (“Reminded 14 players at 18:02”). Our admins can turn this off under Club setup › Features (Reminders from coaches).

Players without notifications

Under Awaiting response, No notifications beside a name means that none of the player’s phones or computers gets our notifications, so they may not know about the event. Where we have the player’s phone number, WhatsApp beside it opens a chat with them, with a message ready: “Hi Ben, are you in for Practice on Wed 21 Oct? Answer here:” and the event’s link. You send it from your own WhatsApp. Only the event’s coaches and our admins see these marks. Coaches see the numbers of the players and coaches on their own teams, and our admins see every number we have.

Build the line-up

On a team’s game or tournament page, open Line-up under Coach tools (practices have no line-up). It has spots for four forward lines (LW, C, RW), three defense pairs (LD, RD) and two goalies. The panel shows whether the line-up is a draft, seen only by the coaches, or published for the team. An empty line-up says so, nobody else sees it, and Publish for the team works once a player is on a spot.

  1. Drag players onto the spots, or tap a spot and choose a player. Only players who said In are offered, and those still to answer, or who said Maybe, appear once they say In. A placed player who later says Out or Maybe gives up the spot, and we let you know, so you can move someone else in. Your changes save by themselves.
  2. Build the line-up fills the board for you (see below). Copy a past line-up opens a list of the team’s published line-ups from the last 90 days. Choose one to start from. Players who aren’t on this event’s list are left out.
  3. Each player shows their photo, or their initials where they have none, and the games they’ve played this season (GP), so you can rotate fairly when a game is full. Tap a player’s photo or initials to see their profile.
  4. Publish for the team shows the line-up on the event’s page, with each player’s own spot marked.
  5. Post to the team chat shares a picture and a link, Print for the bench prints a bench sheet, and Clear empties the spots. The bench sheet keeps to numbers and names, in large type, without photos.

Build the line-up places the players who said In by the positions on their profiles: goalies in net, defense players in the pairs and forwards on the lines. A player with no position, or more than one, goes where a player is needed most, starting with the starting goalie, line 1 and pair 1; a player with no position never goes in net. The center comes from the players listed as forwards, and left shooters play the left side (LW, LD) and right shooters the right where the players allow it. Players on the waiting list are left out. Choose one of four ways:

  • Balanced lines spreads the season’s points (goals plus assists) and games played over the lines and pairs, so that no line is all the strongest.
  • Strongest first puts the players with the most points on line 1 and pair 1, and so on down.
  • Fair ice time puts those with the fewest games played this season first, for teams that rotate.
  • Random by position also puts each player at the position on their profile, but draws at random who plays on which line or pair, who starts in net and who waits when there are more players than spots. Each build gives new lines, which suits a practice game or a team that mixes its lines freely. For a new draw, press Build the line-up again and choose Start again; Fill the empty spots only keeps everyone placed and draws only the rest.

Once players are placed, choose Fill the empty spots only (everyone placed keeps their spot) or Start again (we ask you to confirm). Before you build, the window says what will happen: how many players get a spot, how many stay under In, not placed when there are more players than spots (those who have played the most games wait; with Strongest first, those with the fewest points; with Random by position, the window names the players the draw leaves out), which spots stay empty when there are fewer, and a skater who plays the other position because too few of theirs said In. With no goalie In, it says so, and Ask for a goalie takes you to Subs in the coach tools. Building never publishes: the line-up stays a draft until you publish it, and you can change anything after. If it is published already, the team sees the new lines at once, and the window says so.

Your team starts with the way chosen under Rosters › More › Team settings › Line-ups; until you choose, it follows the club’s choice in Club setup › Features, beside Line-ups (Balanced lines unless our admins choose another). You can choose another way each time.

The window for a player, opened from their photo or initials on the board or in the list of players, shows their photo, name and nickname, number, positions, shooting side and hometown, their answer and note for this game, their spot, and this season’s games played, goals, assists and points (goals and assists only where your team keeps game sheets), with a link to their profile. It shows only what Rosters already shows you: no phone number, birthday or emergency contact. Escape, a press outside it or the close button closes it. In the line-up, players see each teammate’s photo from their public profile, where it has one, and their own photo; otherwise they see the initials.

Our admins can turn line-ups off under Club setup › Features › Line-ups, for the whole club or for one team. While they’re off for an event’s teams, Coach tools has no Line-up, which means nobody can build or publish one for the event, and its players see none: not on the event’s page, nor in a link shared to the team chat, nor in their Inbox, and we don’t remind you a day before a game that has no line-up. A line-up made before is kept, and shows again once line-ups are on.

Who came

Who came is under Coach tools on every event page, and it’s the one place where you mark attendance. It opens 30 minutes before the start, so you can mark players as they arrive. Until then, it only says when it opens. Once it’s open, every player on the event is listed with their answer, and beside each name you choose Came, Came late, Excused or Didn’t come. Excused is an absence with a reason, such as an injury or a shift at work: it never counts as a no-show. Those who checked in at the rink (or, if nobody did, those who said In) start as Came. Correct the choices and press Save who came. The button then reads Saved until you change one. The result counts in the attendance history and in each player’s stats. If our admins have set Who came to Came and Didn’t come only, you just tick the players who came.

Our admins can turn Who came off under Club setup › Features › Who came, for the whole club or for one team, and choose there what coaches mark. While it’s off for an event’s teams, Coach tools has no Who came, which means nobody marks who came to the event, the attendance history offers no Mark who came for it, and we don’t remind you to mark it. The marks made before stay in the attendance history. An extra session’s Charge those who came needs the marks, so while Who came is off, our admins add such charges under Club dues.

Player of the game

Where your team has the vote for the player of the game, it opens on its own when each game ends. You see the votes as they come in, without who gave them. Player of the game under Coach tools turns the vote on or off for that game alone, until the vote closes. Under Rosters › More › Team settings, choose whether your team has the vote (where our admins leave it to the teams), how long it stays open after a game (12, 24, 48 or 72 hours), and whether everyone sees the counts once it closes or only coaches and admins do; until you choose, your team follows the club. Game stats shows the season’s tally, how many games each player was voted player of the game and their votes, for coaches and admins only.

The team kitty

Where our admins leave the team kitty to each team, turn it on or off for your team under Rosters › More › Team settings › Team kitty. Then, on Team kitty (under Teams), open Choose the kitty keepers, tick one or more of your players or coaches, and press Save the keepers. They hear of it in their Inbox. Until you choose, you and your fellow coaches keep the kitty.

The kitty keepers, the team’s coaches and our admins:

  • Make the list: press Change the list under Contributions and fines and give each line a name and an amount in euros, such as “Kitty, per month: 5” or “Late to practice: 2”. Press Save the list.
  • Add an entry: open Add an entry and choose To pay (what players owe: tick the players, or Tick everyone for the month), Paid (a payment you received) or Spent (what the kitty paid for, with a note such as “Drinks after the game”). Choose the line from the list, and the amount fills in; change it, the date and the note if you need to, and press the button. Each player hears of an entry made for them in their Inbox, with what they owe in all.
  • See who owes what: each player with something entered, those who owe most first, with what they owe or their credit. Only you see this; the team sees only what’s in the kitty and the spending.
  • Delete an entry made by mistake, under Entries, and Download the entries (CSV) for a spreadsheet.

A team manager with the Team settings power does all of this as a coach does.

Emergency contacts

On each event’s page, Emergency contacts under Coach tools lists the players who said In, each with their contact’s name, relation and number, and names those who haven’t given one, so you can ask them. Only the event’s coaches and our admins see it. While our admins have Emergency contacts turned off for the event’s teams, Coach tools has no Emergency contacts, which means you can’t see the players’ contacts at that event; the rink’s page still shows its safety facts and the emergency number, 112. Beside each contact are three buttons:

  • Call rings the number from your phone.
  • Text message opens a new text to the number.
  • Share sends the contact to someone else, such as another coach or the rink staff: a picture with our emblem, the player, their team and the contact, with a short message naming the event. On a phone, your phone’s share menu opens. On a computer, a window offers WhatsApp, a text message, Copy message and Download picture. The website keeps no copy and makes no link, so only the people you send it to see it.

Above the list are the rink’s safety facts, once one of our members has checked them at the rink and our admins have added them: the nearest emergency department and where the first-aid kit and the defibrillator are, with the emergency number in Europe, 112. From three hours before the event, your phone saves a copy of the list to use at the rink, so it opens without a signal (see Without a signal).

At an event of two teams where one has emergency contacts on and the other has them off, Coach tools has Emergency contacts, but we don’t show the contacts of the players whose teams have them off. A line under the list names those players, so that you can ask them whom to call.

The attendance history

Attendance, a tab of the Teams area (kmceagles.org/teams/attendance/, under Tools), shows each player’s answers and attendance. Only coaches and admins see it.

  • The row at the top chooses the team, one event or Every event, and finds a player by name. Above the list, choose the view: Players, Events, Trends, Grid or Costs (on a phone, you choose the view in the last drop-down list in the row at the top). A table wider than the screen slides sideways, and a shadow at its edge shows where more columns are. More holds the season, the kind (practices, games or tournaments), the period (the whole season, the last 30 or 90 days, or one month), each view’s own choices, Download as a spreadsheet and Print this view. The page’s address keeps your choice, so a link to it shows the same view.
  • The filters from More (the kind of event, the period and, on Players and Grid, skaters or goalies) show as chips under the row at the top, Games × for example. Tap one to take that filter off.
  • The line under the row sums up that choice: the events, the In rate (the share of everyone listed who said In), how many said In at an event on average, the share who never answered, the late Outs and, once who came is marked, the share who came, the no-shows, and how many came late or were excused. Point at a figure to see what it counts.
  • One event: choose it in the row at the top to see that event alone: how many said In and Out (and Maybe, where the event allowed it), who never answered and who came, and each person’s answer under Players.
  • Players: press a column heading to sort by it, and press again to reverse the order. In More, Group sorts the players by In rate, by answers missing, or by how often they came late or were a no-show, and Players picks skaters or goalies. Came late and Excused get columns of their own once you’ve marked someone so. A name opens that player’s record, event by event.
  • Events: grouped by month or kind, newest or oldest first, or by In rate to find the weakest. Open one to see its final list, and Mark who came opens Who came on the event’s page.
  • Trends: charts of the answers at each event, of who came at each event (on time, late, excused or not), and of the In rate by month, by kind and by weekday. Point at a column, or focus a chart and use the arrow keys, for its numbers, and Show as a table gives them all.
  • Grid: every player at every event, newest on the left, one square each: In, In but came late, In but didn’t come, excused, Maybe, Out, Out at the last minute, or no answer. Point at a square for the player, the event and the answer.
  • Costs: each regular practice slot (the same weekday, time, rink and teams) of your team, for the period chosen, with the practices held, the hours on the ice, how many skaters and goalies said In on average and how many came. A practice held only once counts under Other practices, and the hours come from each practice’s start and end (or, for a practice without an end time, the usual length of a practice our admins set in Pages CMS). Press a slot to see its practices. Where our admins let coaches see their team’s costs, you see your team’s costs too, as our treasurer does (see Costs for the board); otherwise our treasurer and admins see them.

A team’s figures count that team’s own players and the guests it called up, even when it shares practices with another team. Late Out counts the times a player changed from In to Out in the last 24 hours before the start. Once you mark who came, No-shows counts the events a player said In for but didn’t attend, without a reason: an absence you marked Excused is never a no-show. Where a team allows Maybe, a Maybe is counted on its own: it never counts as In, and a player who said Maybe and didn’t come is not a no-show. We keep the current season and the one before in full, and only each player’s totals for older seasons.

Notices for coaches

We tell you about your teams’ events, in the way you choose for each under Settings › Notifications › For coaches: Late Outs (a player changes from In to Out in the last 24 hours), Duties and line-up spots handed back (when a player says Out or Maybe), Few players In (fewer than half the players have said In a day before an event), Things to finish (the morning after an event nobody marked, a game tomorrow with no line-up yet, and players on standby an hour before standby ends) and your players’ Birthdays (if the club collects them). Team managers hear them for their teams too. Our admins can turn all of these off under Club setup › Features › Notices for coaches. Some coaches’ notices belong to another feature, so turning off Notices for coaches doesn’t stop them; they stop only when our admins turn that feature off: sub offers and Goalie asks (Subs), notes on answers, requests to join after answers close (Answer-by times), duties taken through Help wanted, new players for your team (A first practice for new players) and your game reports (Game reports). Players asking to log in with your team’s join link and players leaving the club always reach you.

Confirm it's you

Before the few actions that could do the most harm if someone else had your phone while you’re logged in, coaches, admins, team managers and the treasurer must confirm it’s them: downloading contact details (on Rosters, Download as a spreadsheet, Download with every detail, Contact cards and Copy emails), changing a member’s email or role, deleting a member, and, for club admins, deleting a team. A window, Confirm it’s you, offers the ways you have here:

  • Use your passkey: your phone or computer asks for your face, fingerprint or screen lock.
  • Email me a code: we email a six-digit code to the address we have for you. Type it in the window.
  • Continue with Google or Continue with GitHub: a new window opens; sign in there, then come back to the page you were on.

Once you’ve confirmed, we don’t ask again on that phone or computer for ten minutes, and the page finishes what you asked. Logging in counts too, for its first ten minutes. If you have none of these ways to confirm, the website goes ahead without asking, tells you so and records it for our admins in the club’s activity. Add a passkey under Settings › Sign-in so you can confirm next time. Players are never asked. This keeps someone holding your unlocked phone from taking every member’s details away in one file, or from giving a login to another email address. It doesn’t hide what the roster shows on your screen, so lock your phone when you put it down. Our admins can turn this check off under Club setup › Sign-in (Ask staff to confirm before sensitive changes), which means nobody is asked to confirm.

For club admins

As an admin, you can do everything a coach can, on every event.

Everyone

Everyone is the last choice under Team on Rosters, for admins (kmceagles.org/teams/rosters/?team=everyone). Instead of a roster, it lists everyone on the website: the players and coaches with their profiles, and everyone who can log in, with how they sign in. Find a person narrows the list, and the line under it counts those with a login, the players, coaches and admins, those with no email yet and the former Eagles. Members log in with the email address you enter here, and only coaches and admins see it.

  1. Add a person, beside the title, opens its own window. Choose Someone on the site and pick the name, Someone new for a player or coach who has no profile yet, or An admin only for someone who doesn’t play. For someone on the site or an admin, choose the role (player, coach, team manager, treasurer or admin; see Team managers and the treasurer), enter their email address, and press Add. The names are grouped by team, with a coach who doesn’t play marked “coach”, and players who aren’t on a team yet under Not on a team yet; they answer for whole-club events until they’re placed on a team. The name comes from the person’s profile, so it stays up to date. For an admin only, such as the club secretary or the treasurer, type the name as the website should show it; they have no events of their own to answer. If they have a player or coach profile, choose Someone on the site instead, because a typed name that matches a profile isn’t accepted. For someone new, press Fill in their profile. Their window opens, where you also choose a team and their number, and whether they can log in, with their email. Add the person does it all at once.
  2. Invite on WhatsApp opens a message that greets them by first name, tells them where to log in and explains how to start, and Copy message copies the same text for another app. It holds no password or key, so you can send it again at any time. You edit its wording in Pages CMS under Page text › Manage users. The line under Find a person counts those on this season’s rosters with no email yet, who can’t log in yet. Press it to list them on All teams, where Add email in the Email column opens their window at the email.
  3. Log them out everywhere, in their window, is for a lost or passed-on phone: they’re logged out on every phone and computer, their notifications stop and their passkeys are removed. They log in again with their email, Google or GitHub.
  4. Change beside a name opens their window, the same one you get from a row on Rosters. Login comes first: how they sign in (devices, passkeys, Google or GitHub), their email and role with Save, Invite on WhatsApp, and Archive for someone who has left. An archived member can’t log in any more, but their answers and stats stay in the history. Their window says Contact details kept until a date, and once that day has passed, Contact details deleted on it: we then delete their email, linked accounts, passkeys, private details, notification choices and devices, saved views and menu (Club setup › Profiles › Former members sets how long). A member who comes back after that is restored with Restore, and you enter their email again, as for anyone new. Archived members lists them, and Restore brings them back. This season follows: their number, captaincy and status on each of this season’s rosters, or a team to add them to. Then comes Private details, if the club collects them: their phone number and birthday, with Chat on WhatsApp. Profile comes last: their photo and what the website shows about them. Each part has its own Save button.
  5. Delete completely, in the window, removes a login and its whole history. Use it only for someone added by mistake. Their profile stays.
  6. Former Eagles, at the bottom of the list, are the players who’ve moved on. You can change their profiles here too.
  7. On the public site, in a person’s window, shows how they chose to show on the public site and when. Change it only when they ask you to, and the change is recorded with your name.
  8. Photos and the club’s rules, in a person’s window, shows their choice about club photos and whether they agreed to the club’s rules, with the dates. Change the photo choice only when they ask you to, and the change is recorded with your name.

Team managers and the treasurer

Not every helper needs to be an admin. Give them a role that fits:

  • Team manager: does for one or more teams what a coach does: the coach tools, setting answers, line-ups, game sheets, subs, Who came, the team’s events and roster, Team settings, announcements to the team and the tournament trips. They’re never listed as a coach on the roster or the public pages. They need a profile on the site.
  • Treasurer: keeps Club dues, and nothing else of an admin’s. They can be someone who doesn’t play.

Choose the role when you add the person on Everyone, or in their window under Login, and for a team manager tick their team or teams. A label with their role shows beside their name in the menu and on Rosters, and Everyone lists them under Team managers and treasurers. Under Club setup › Team managers, untick any coach power you’d rather keep to the coaches, such as the line-ups. Every power is ticked until you untick it.

Club setup › Features › Team managers and a treasurer turns these roles off for the whole club. While it’s off, nobody has a team manager’s or the treasurer’s powers: each of them is a member like any other, the coaches and our admins do what they did, and the yearly job of the season’s charges comes to our admins. You can’t give the roles to anyone new meanwhile. Their roles are kept, and everything they did stays (line-ups, payments recorded, announcements), so when you turn it on again, they’re back as they were.

Profile changes that players ask for, and the sign-ups from new players, are on Requests.

Club roles

Some of the club’s volunteer jobs come with their own page and tools on the website. Name who holds each in Club setup › Club roles:

  • Equipment manager: keeps the club’s equipment and who has it on loan.
  • Jersey coordinator: takes the members’ jersey and kit orders.
  • Travel coordinator: sets up the trip on each tournament’s page, as the event’s coaches do, for every team.

A role comes on top of the member’s own role, so a player or a coach keeps everything else. Choose a member and press Add; press Remove beside a name to relieve them. A role has up to four people, and every logged-in member sees who holds it. While nobody holds a role, our admins do what it does. Each change is in Activity.

Profiles

You change a profile in the person’s window (Change beside the name, on a roster or on Rosters › Everyone), or from Change this profile on their page. Each change shows straight away on the profile, the rosters, the league roster and Leadership.

  • The profile is public: never enter an email address, a phone number, a rank or a unit. The website won’t accept the first two.
  • Untick Show on the website to hide the profile everywhere. You can’t turn it back on here: to show the profile again, an admin turns it on in Pages CMS. Retired turns it into a retired player’s profile and takes the player off this season’s roster.
  • Photos: in the person’s window, press Choose a photo, place it in its square and press Use this photo. It shows in the rosters straight away and on the profile page within a few minutes, and Remove the photo shows the initials instead. The website’s search and a player’s downloadable card catch up within a day.
  • Private details: if the club collects them, the person’s phone number and birthday are in their window too. Fill them in only with the player’s agreement.

You decide what players can change on their own profiles under Club setup, Profiles.

You also change every team’s roster (see Rosters), and only admins name a team’s coaches, under Coaches on Add players and coaches.

New players' sign-ups

New players sign up on Sign up to play, and the contact form’s Play for the club keeps their message for us as well as emailing the club. Each one waits for you on Requests, under Asking to join, and we tell you in your Inbox. Club setup › Features › New players’ inquiries and sign-ups turns this off: the sign-up form and its buttons leave the website (an old link to it says it’s turned off), a message from the contact form still reaches the club’s email but isn’t kept on the website, and Asking to join leaves Requests. A first practice, mentors and returning players work on the sign-ups, so they’re off while it is, whatever their own switches say, and back when it’s on. Sign-ups already received stay on the website until we would delete them anyway (90 days after they’re handled).

Profile change requests

A part of the profile set to Members ask a club admin under Club setup › Profiles reaches you as a request on Requests, and so does a note a player writes on Your profile. Club setup › Features › Profile change requests turns these off: members then can’t ask, the parts set to Members ask a club admin are for our admins alone, Your profile has no note to our admins, and Requests no longer lists profile changes. You still change any profile in the person’s window. One kind of request still reaches you: a member’s choice of how their profile shows on the public site, because the law gives that choice to the member. We record the choice either way, and if the website can’t apply it by itself, it comes to Requests for you to apply. Requests already received stay, and show again when an admin turns profile change requests back on.

Requests

Requests, a tab of the Teams area (kmceagles.org/teams/requests/), holds the requests to log in that players sent with their team’s join link, for the team’s coaches and our admins, and, for admins, the profile changes players have asked for and the sign-ups from new players. A red number on the tab and beside Requests in Tools counts what’s waiting. Requests also show in the menu under Waiting for you and count toward the number on your photo or initials. When one admin decides a request, the number goes down for every admin. Each new request also lands in your Inbox.

  • Each change side by side: the profile as it stands (Now) and what the player asked for (Asked for), field by field, and a new photo beside the one they have.
  • Accept or Decline each field on its own, or press Accept every change or Decline every change. An accepted change shows on the website straight away. Once every field is decided, we tell the player in their Inbox what was changed.
  • Their note shows under the changes. A request with only a note is marked Done once you’ve done what it asks, or Declined.
  • Open in their window opens the player’s window with the request at the top. Press Fill in their change, adjust it if you need to, and save. A new photo shows there with Use this photo.
  • Asking to join: each sign-up from Sign up to play, and each message to join from the contact form, which also reach the club’s email and your Inbox. Open Their sign-up under a row to see the photo and every answer. Add as a new player opens the window for someone new, already filled in from the sign-up; choose a team and a number, and saving it creates their profile, team place and login in one step, then adds their photo and the private details the club keeps. Let go declines it. A sign-up from someone who played for us before shows Looks like and Bring back instead (see Returning players). A sign-up that names a team goes to its coaches too, who invite the new player to a practice (A first practice); the row says which team, the practice and the mentor, Change beside the team passes it to another team (or Choose a team, for one that named none), and after the practice Add as a new player reads Make them a member.
  • Asking to log in: players who used their team’s join link, with the address they gave. Approve or Decline each (see Your team’s join link).
  • Handled requests stay listed for 30 days, under Handled in the last 30 days, and handled inquiries for 90.
  • While New players’ inquiries and sign-ups is turned off, Asking to join isn’t here; while Profile change requests is off, the profile changes aren’t here either, except a member’s choice of how their profile shows on the public site.

You set what players can change themselves, and what they must ask for, under Club setup, Profiles.

Returning players

Sign up to play asks Have you played for us before?, with the years if they remember them. On Requests, a sign-up that matches a former player (a retired or alumni profile, or someone whose login we archived) shows Looks like Ben Bowman, Former Eagle 2019–22, with how sure we are and why:

  • Very likely: the same email as their old login, the same name and date of birth, or the same name from someone who says they played for us.
  • Likely: the same name alone, a similar name (Mike for Michael) from someone who says they played for us, or the same date of birth and last name.
  • Possibly: a similar name alone, or the date of birth alone. A first name alone is never a match.

Bring back Ben Bowman opens a window. Check the former player (the matches come first, and you can choose any other), choose the team and the number, and look over the rest:

  • Their login: we restore their archived login, and they log in with the email from the sign-up. If their old email is still on file and differs, choose which one they use. A login that was a coach’s, an admin’s, a team manager’s or the treasurer’s comes back as a player’s; give them their role again in their window.
  • New details to take in: what the sign-up gives that their profile lacks, such as a nickname, a phone number or a photo, each ticked. Untick any you’d rather leave out.
  • Details that differ: for each, choose Keep or Use the sign-up’s.

Press Bring back. Their old profile becomes active again, they go on the team (their old place, if they had one this season), and the details are taken in. They stay the same person on the website, so their seasons, answers, stats and payments stay with them. A message says what was done, and the WhatsApp invitation opens, as for a new player. A sign-up that says they played for us but matches nobody shows Find their old profile, which opens the same window to choose them. For a real newcomer, Add as a new player is still there. Club setup › Features › Find returning players turns all of this off, the question on the sign-up form too.

The announcement bar

On Announcements, admins also see Website bar: the bar at the top of every page, for everyone who visits. Press New announcement and choose The website bar. Type one sentence and, if you like, a link, with both its words and its address. The address starts with / for a page on this website (such as /join/) or with https:// for another website. How it looks shows the bar as you type. Leave the days empty to show it straight away and keep it up until you cancel it, or choose a first and a last day. Press Post, and every page shows it at once. Visitors who closed an earlier bar see the new one, and a closed bar shows again when its words change.

We keep every bar announcement, so nothing is overwritten. Only one shows at a time: of those whose days include today, the one that started last. An older one says Hidden by a newer one, and shows again when the newer one ends or is canceled. Edit, Cancel, Restore, Post again and Delete work as they do for announcements to members. The same list is in Pages CMS, under Announcement banner.

Club setup

Club setup, under Tools, holds the club’s settings that change now and then, each in its own section. On a phone or tablet it opens with Go to a section, a list of all its sections, and search finds any of them by name. Tools also links straight to Features, Menu links, Seasons, The club’s year, Chat links, Sign-in and Activity. Each section saves on its own. Changes under Teams and Seasons go into the website’s files, with your name, alongside the edits made in Pages CMS, so some pages take a few minutes to show them. Changes under Profiles, Group chats, Features, The club’s rules, Club documents, Team managers and Menu links take effect on the website at once. Sign-in shows how members log in.

  1. Club: the club’s time zone and currency. The time zone is the one our events are typed and shown in (German time to start with), and the one “today” and the club’s daily jobs follow; a rink abroad has its own in Pages CMS (Rinks and venues › Time zone), and one event can have its own on its form. The currency is the one every amount is shown in: dues, the team kitty, the cost of ice and gear prices (euros to start with). Before you save, the page says what changes and what doesn’t: events keep the times as typed, and amounts already recorded keep their numbers, so €80 becomes $80, not $87. Prices typed into page text, such as the shop page, stay as typed. Every page shows the new time zone or currency within a few minutes of saving. If the website can’t save these settings (for example before our webmaster has set up saving from the website), our admins change them in Pages CMS, under Site settings.

  2. Teams: press Change beside a team to change its name, short name (on the team badge and in the schedule’s calendar; left empty, the name is used), division and description (on the team’s page and its cards), place in lists (1 comes first), photo caption, and the usual duties, arrive time and player limit of its events. For a duty that needs more than one person, add × and the number after its name: Bench helpers × 2 (or Bench helpers x2). Under Open to the whole club, tick the usual duties that members of every team may take at the team’s home games, such as the timekeeper (see Help wanted). Untick Active this season to take a team out of the menus, the schedule filters and the home page. Its page and past rosters stay. The schedule and the event pages show a change straight away, and the team’s events use the new duties, arrive time and limit at once. The team’s own page and the menus follow within a few minutes. Add a team adds a new one with its web address (such as eagles-4), and you give it a roster and coaches under Rosters. Team photos are added in Pages CMS. Delete this team, at the foot of a team’s details, takes a team off the website for good. A team with nothing yet (no events, rosters or records) goes after one confirmation, as if it had never been added. For a team with a past, a window first lists in numbers what goes with it: its events, past and to come, with their answers, line-ups, game sheets and other records; its rosters in each season; its league tables, team kitty, team settings, join link, group chat links and calendar feed; and the club’s awards given for the team. It also lists what stays: the events it shares with another team (for that team, without this one), every player’s and coach’s profile, the dues people still owe (each one named, on Club dues as before), and the club documents shared with the team alone (for our admins). Deleting can’t be undone, so if you only want the team out of the menus and the schedule’s filters, untick Active this season instead: its page, past rosters, results and stats then stay. To delete it anyway, type the team’s name and press Delete the team, then confirm it’s you if we ask. Every page shows the change at once; the season pages’ figures and the site search follow within a few minutes. The club’s activity keeps one line saying which team went and what went with it.

  3. Seasons: every season on the website is listed, newest first, with whether it’s current, coming, finished or earlier, its days, and its rosters, events and results. Change opens one: change its name, first day and last day and press Save, and its events, results and season page follow within a few minutes. A season can’t start before the one before it ends, or end after the next one starts, and its years never change, because the rosters, stats and answers find the season by them. Show this season early (for the newest season, before it begins) makes it current straight away, so its rosters show on the team pages before the first practice. In a season’s list of rosters, press a team’s name to open that season’s roster on the Rosters page, where you can change its players and coaches. Carry rosters over copies the previous season’s roster to a team that has none yet, and Remove the season, only while it hasn’t begun, takes away a season added by mistake, along with its rosters; its events stay on the schedule. To prepare the next season, first use Ask the members: playing next season? to ask everyone on this season’s rosters, until a closing day you choose. The answers are listed there, and Download as a spreadsheet saves them. Then open Add the next season. Its name, years (written like 2027-28) and first day are suggested from the latest season. Tick the teams whose rosters carry over: the players still on each team, with their numbers, and the coaches. Players who have left aren’t carried over. Keep the captains carries the captains over too. A roster the new season already has stays as it is. Press Add the season and confirm. The new season becomes the current one by itself on its first day, and until then everything stays as it is.

  4. Profiles: for each part of a player’s public profile (nickname, positions, shooting side, country, hometown, usual number, a few words about them, and the photo), choose Members change it themselves, Members ask a club admin or Club admins only. Set every part to changes them all at once. What players change themselves shows straight away, and every change is kept in the website’s history; what they ask for comes to you on Requests. Below, choose for the Phone number and the Birthday: Not collected, Club admins fill it in or Members fill in their own. They never appear on the public site. Only the player, our coaches and our admins see them, and coaches use them to reach their players and to add them to the team chats. Turning one off deletes every one we’ve kept, and you’ll be asked first. Press Save. Under Former members, choose how long we keep the contact details of members whose login has closed: 3, 6 (as it starts), 12 or 24 months. It saves as soon as you choose. Then we delete their email, linked accounts, passkeys, private details, notification choices and devices, saved views and menu; their profile, seasons and the club’s records stay. You can’t choose to keep them for ever: the point of this rule is that we don’t keep former members’ details without end. Under The club’s activity, choose how long we keep each line of the club’s activity: 1, 2 (as it starts) or 3 years. It also saves as soon as you choose.

  5. Group chats: open Add a group chat and choose under For who it’s for: the whole club, a team (its players and coaches), every coach, one team’s coaches only, or the admins only. Give it a name, paste its invite link, add a note if you like, and press Add the chat. In WhatsApp, open the group, tap its name, then Invite via link and Copy link. Any app’s invite link works. The members it’s for see it straight away on their home page, under You and on their team’s page, and we let them know. Change and Remove keep the list up to date. Coaches keep their own teams’ chats on the Group chats page (see Group chats).

  6. Features: turn a part of the website on or off. The page groups the features under On each event, For members, Public pages, Seasons, rinks and calendars, On every page, The website itself and For our admins.

    • What you can turn off: subs, guests from outside the club, player limits, notes on answers, answer-by times, Maybe, comments, replies to comments, rides, skate sharpening, duties, Help wanted, line-ups, check-in, Who came, reminders from coaches (Notify now), Player of the game, game sheets, game reports, polls, group chats, the gear exchange, dues, away dates, Playing next season?, photo consent, the club’s rules, Club documents, the public pages (Head-to-head, Newest Eagles, Volunteer, the league roster, the alumni, Leadership, Heritage, News, the galleries and videos, the Shop and uniforms, Getting started and the media pack), the seasons, rinks and calendars (the season maps and travel, the season stats, the season recap, the league tables, the rinks’ safety facts and the calendar subscriptions), what’s on every page (translation, installing as an app and the hover cards), and the club’s year.
    • On or off, and team by team: beside each one, choose on or off for the whole club. To let one team differ, press Choose for each team under it and choose for that team. Each team’s choice reads Club’s choice, On or Off, and the line beside the button says how the teams stand, such as All 3 teams follow the club. A tool on an event is there while any of the event’s teams has it on, and a page for members shows while any of their teams has it on. A whole-club event follows the club’s choice. As an admin, you still see a feature’s page while any team has the feature on, so you can look after it.
    • What off means: whatever is off disappears from every menu, page, card and reminder for those it’s off for, and an old link to its page says it’s turned off. Nothing a feature keeps is deleted while it’s off, so when you turn it on again, everything’s back.
    • Choices of more than on and off: Comments are a choice of who may write: Players and coaches, Coaches and admins only, or Off. Final score from the game sheet is a choice too: A coach confirms it, Saved when the sheet is final or Entered by hand only (see The final score). Who came is on or off, and while it’s on, What coaches mark beside it chooses All four marks (Came, Came late, Excused and Didn’t come, as it starts) or Came or Didn’t come only, for every team with Who came on.
    • Markers: under Markers on event cards, ticks add skate sharpening, the arrive-by time, the dressing room and the waiting list to the markers on members’ event cards. The markers for notes, comments, rides, duties and the line-up always show while their feature is on.
    • Maybe: off until you turn it on, with its own choices: On for everyone, Off for everyone or Team by team. Team by team, each team’s coaches turn it on or off for their own team under Rosters › More › Team settings, and you can set each team under the feature too; a whole-club event then has no Maybe. On for everyone or Off for everyone applies to every team; the teams’ own choices are kept and come back when you choose Team by team again. Wherever Maybe is off, members see only In and Out, and a Maybe given earlier counts as no answer.
    • Subs and goalies: under Subs, Standby ends sets how many hours before the start standby ends for subs a coach put on standby (six, unless you choose); each team follows it until its coaches choose under Team settings.
    • The teams’ defaults: beside three features sit the club’s defaults for what each team may choose for itself in Team settings: Answers by under Answer-by times (no deadline, at first), the Waiting list order under Player limits (in the order they said In), and under Subs the Skaters needed and when We ask for skaters (off, and at the same time as we check for a goalie). Teams that haven’t chosen follow them; teams that have keep their own.
    • Line-ups and the player of the game: Player of the game works like Maybe (off until you turn it on, then for everyone or team by team), and beside it you set how long the vote stays open after a game (24 hours unless you choose 12, 48 or 72) and who sees the counts: Everyone sees the votes or Only coaches and admins see the counts. Each team follows these two until its coaches choose for it in Team settings. Beside Line-ups, Build the line-up sets the way the coaches’ Build the line-up starts with: Balanced lines (unless you choose), Strongest first or Fair ice time; each team follows it until its coaches choose under Team settings, and a coach can choose another way each time.
    • The website itself: Email the webmasters when the site fails is on until you turn it off, for the whole club: the health watch’s emails to our two webmasters. Its notices in their Inbox stay either way. Publish saved changes together is on too, for the whole club: when someone makes several changes in a row, the website updates its pages once for all of them, not once for each (see Publish saved changes together). Turn it off to update the pages after every change. The line under it says whether our webmaster has finished setting this up, and when the website last asked for the pages to be updated.
    • How much each feature is used: under each feature, a short line says how much it was used this season, such as 12 offers to sub this season, counted once a day from what the feature keeps anyway (no page views, no names). Records kept only a short time say what they cover, such as 2 rides offered for coming events, and a feature with none says Not used this season. Above the list, a line shows the share of members who have notifications turned on. Turn off What gets used, under For our admins, to hide the counts; we then count nothing (see What gets used).
    • For our admins: Find returning players is on until you turn it off (see Returning players). Each of the coaches’ and admins’ own tools also has a switch here, on until you turn it off, for the whole club: Announcements to members (the announcement bar at the top of every page stays either way), Team managers and a treasurer (while it’s off, nobody has a team manager’s or the treasurer’s powers; their roles come back when it’s on again), Notices for coaches, New players’ inquiries and sign-ups (A first practice for new players, Mentors for new players and Find returning players work on the sign-ups, so they’re off while it is, and their line says so), Profile change requests, The club’s activity, What gets used, the Setup checklist (its Health section stays for our webmasters) and Changes to an event.
    • For members: Notification presets (Every kind at once) links to Club setup › Notifications, where New members start with chooses the preset for the members you add from then on: Everything (as it starts), Just my events or Inbox only. It saves as soon as you choose, and members already here keep their own choices. Get set up turns off the list of first steps on members’ home pages.

The public pages, the seasons, rinks and calendars, and what’s on every page are on or off for the whole club only. When one of them is off, it disappears for every visitor and member: its pages say it’s turned off, its links leave the menus and the other pages, and search engines and the website’s own search no longer find its pages. A link to one of its pages inside a sentence stays as plain words. Some of them reach further:

    • Shop and uniforms off hides the Shop and Uniforms pages from visitors. While Jersey and kit orders is on, logged-in members can still open the Uniforms page to order their kit, without the prices and the ordering steps meant for visitors.
    • Calendar subscriptions off takes away every Subscribe button. A calendar app that subscribed already then shows no events, only one note saying that our calendars are turned off and where the schedule is. When you turn the calendars on again, the events come back in those apps by themselves, so nobody needs to subscribe again.
    • News off also means coaches can’t send or publish game reports, because they go on the News page. Reports already written wait until News is on again.
    • League tables off also means nobody can paste the league table, and the club’s year no longer reminds you to bring the tables up to date.
    • Hover cards off means nobody sees the cards under the pointer, whatever members chose in Settings, and Settings no longer offers them.
    • Safety facts at the rink off removes the nearest emergency department and where the first-aid kit and the defibrillator are from the rinks’ pages, from Coach tools › Emergency contacts and from phones at the rink. The emergency number, 112, always stays.
    • Installing as an app off takes away the Install button and its steps, and the note in the Inbox for iPhones. Apps already installed keep working.
    • Guides for new players covers the Getting started page only. The user guide always stays.
    • For members also has Your stats, Markers on event cards (with the markers the club adds, under it), The reminder banner, Personal calendars and Emergency contacts, for the whole club or team by team; a team’s coaches also choose the reminder banner for their own team under Rosters › More › Team settings › Reminder banner. For the whole club only, it has Notifications on phones and computers, Members’ own time zones, The members’ home page and Leaving the club. On each event also has Live stream and video and Sharing to the team chat, for the whole club or team by team. Each is on until you turn it off, and each row says what turning it off means.
    • On each event also has Call up a player and Set answers for players, for the whole club or team by team, each on until you turn it off. While Call up a player is off for a team, its coaches can’t call up players to its events, though they can still add a player who offered to sub while Subs is on (see Call up a player). While Set answers for players is off, nobody sets or takes back a player’s answer at its events, and the players answer for themselves (see Set answers for players). While our admins have Maybe off for every team, no event offers Maybe for this event.
    • While Notifications on phones and computers are off, nothing goes to a phone or computer, and what a member chose to get as a notification comes to their Inbox instead; their choices are kept for when it’s on again. While The members’ home page is off, members get the public home page, and its For you to do cards move to You. While Personal calendars are off, a calendar app already subscribed shows one note that says so, in place of the events. While Emergency contacts or Leaving the club are off, we keep what members gave us, and each member still finds it under Your data. You can still archive a member who leaves yourself, under Rosters › Everyone.
  7. The club’s rules: write the rules, or a waiver, for every member to agree to, and press Save the rules. Members see them on their home page and in Settings with I agree, and new players on Sign up to play. Each change is kept as a new version with its date, members are asked to agree again, and this section shows how many members have agreed to the current version. Leave it empty to ask nothing. See The club’s rules.

  8. Club documents: name the Groups on the shelf (Rules, Insurance and Forms to start) and choose Who adds documents: club admins only, or club admins and coaches for their own teams. See Club documents.

  9. Team managers: untick a coach power that team managers shouldn’t have. Each tick saves straight away. Our helpers lists the club’s team managers and treasurers. See Team managers and the treasurer.

  10. Menu links: choose the club’s own links in the menu. Logged-in members see them after the club’s sections, on every phone and computer. Give each section a heading, and put the sections and their links in order with Up and Down. Add any page of the website from Add a page of the site, or a link to another website under Add a link to another website (its address starts with https://, and it opens in a new tab). The list grays out the pages the menu holds already, marked (in the menu), and those you’ve added, marked (added). Change a link’s title if you like, and choose who sees it: every member, players and coaches, coaches and admins, or club admins. Save the menu links puts them in every member’s menu straight away, and Use the default goes back to the section we started with: More from the club, with News, Rinks and Head-to-head. A link to a feature that’s turned off never shows.

  11. Sign-in: which ways to log in are ready (passkeys always, and a code by email, Google and GitHub once the webmaster has set them up in Cloudflare), how many active members have an email, and how many login codes went out in the last day and month. We can send at most 90 codes a day and 2,900 a month, and when the limit is reached, members log in with a passkey, Google or GitHub. If an email failed, the reason shows here, and the Log in page offers the other ways for ten minutes. Send a test email checks that codes reach your own address. Ask staff to confirm before sensitive changes is on as it starts: coaches, admins, team managers and the treasurer confirm it’s them before they download contact details, change a member’s email or role, delete a member, or delete a team. Under it, a line says how many of our coaches, admins, team managers and treasurers have no way to confirm yet.

  12. Activity: what our admins, coaches, team managers and the treasurer changed, and what the website did by itself to members’ accounts, newest first. See The club’s activity.

  13. Test club: whether the test club’s seven made-up teams show on this site, and how far the website is with adding their records or, once the test club is turned off, deleting them. See The test club.

What gets used

Under each feature in Club setup › Features, a short line says how much it was used this season, such as 12 offers to sub this season, and above the list, a line shows the share of members who have notifications turned on. We count once a day, from the records each feature keeps anyway: no page views, no names. A feature that keeps nothing of its own, such as a public page, has no line. What gets used, under For our admins, turns the counts off, and we then count nothing.

Setup checklist

Setup checklist, under Tools and under Club in the menu, checks every step of setting up the website with the club’s own accounts at Cloudflare, GitHub, Google and Resend. Our webmaster takes these steps; the checklist shows which are done. Each step says what it is for, is marked Done, Not yet or Can’t check, says in a line what the website saw, and links to where the step is described. It covers the website’s settings in Cloudflare (the database, the secrets for logging in, codes by email, Google and GitHub, saving changes, the notification keys, the reminders’ secret, building changes together, the spam check and the contact form), the address kmceagles.org, the reminders and the weekly backup, Cloudflare’s daily figures, and the club’s own details: who on the rosters has no email address yet (Show who has none opens them on Rosters) the cost of ice at each practice rink, and the safety facts of the home rink and each practice rink (the nearest emergency department, and where the first-aid kit and the defibrillator are), which our admins enter in Pages CMS once one of our members has checked them at the rink. Secrets show only whether they are set, never their values; for the website’s GitHub key, the line says when it expires (“The GitHub key expires on 1 Mar 2027”, or that it never expires). The checklist can’t tell whether the spam check and the contact form work: send a test message through the contact form to find out. Check again runs every check again. At the foot, Health shows what the health watch sees. Once everything is set up, Club setup › Features › Setup checklist turns the page off: its links leave the menu and Tools, and the page keeps only Health, which our webmasters’ notices link to.

The health watch

Once an hour the website checks its own working, and tells our two webmasters when something goes wrong and again when it’s right. It watches only the website itself, never visits or people:

  • The reminders timer: the timer that sends our reminders every five minutes hasn’t run for half an hour. Until it runs again, reminders go out only when someone opens the website, or every six hours at the latest, so many arrive late.
  • Webmasters’ notifications: a notification to a webmaster’s phone or computer has been waiting for an hour, because the service that delivers notifications to that device refused it.
  • Page updates (shown in Health as The build): a change saved on the website has taken more than an hour to reach all of the website’s pages, which means the updates are failing or stuck waiting (or the setup that groups changes together isn’t working; the notice says which).
  • The last release: after each new version of the website goes live, the website opens the home page, the Schedule, an upcoming event and the members’ login check, as a visitor would. If one doesn’t open as it should, the webmasters hear within minutes which page and what it answered, with how to go back to the version before.
  • The weekly backup is more than eight days old, failed (a copy that doesn’t open again fails it too) or made no file.
  • Emails through Resend: Resend, the service that sends our emails, refused one. Login codes by email: four fifths of the day’s 90 codes or of the month’s 2,900 are used.
  • The GitHub key and the Cloudflare key: 30 days, 7 days and 1 day before each expires, on the day it does, and when GitHub refuses the website’s key.
  • The free limits: Cloudflare’s free plan limits how many files the website may have (20,000), how large its records may grow (500 MB), and how much it may read (5 million rows a day), write (100,000 rows a day) and serve (100,000 requests a day). We warn once any of these reaches four fifths of its limit. As the club decided, when a free limit passes four fifths on two days in a month, the club moves to the Workers Paid plan, and the notice says so.

Each problem comes to the webmasters as The website in their Inbox and as a notification, when it begins and at most once a day while it lasts, and Back to normal when it ends. Only members whose login email is one of the two webmasters’ addresses get these, and they can’t stop these notices coming to their Inbox, only the notifications. The problems that stop notifications themselves (the reminders timer silent, notifications refused) also come by email to both webmasters’ addresses, as does any problem that lasts more than a day, at most once a day each. These emails never use up the login codes’ allowance: Resend’s free plan leaves room for 10 more emails a day and 100 a month beyond the codes, and these emails stay within that. Club setup › Features › Email the webmasters when the site fails (on until an admin turns it off, for the whole club) turns the emails off; the watch and its Inbox notices stay. The Health section of the Setup checklist shows each check as OK, Warning, Problem, Can’t check (such as a permission the webmaster still has to add) or Not set up, with the problems of the last 30 days.

Publish saved changes together

Each change saved on the website, such as an event added or a roster changed, shows at once on every page. Behind the scenes, the website then updates its pages so that search, the pictures shown when a link is shared and the season’s figures include the change too. Our free plan allows only so many of these updates, so the website groups a run of changes into one: a coach entering a season of games starts one update, about ten minutes after their last change (at most 45 minutes after the first), not one for each game. Members see nothing different, and changes made in Pages CMS still update the pages at once, taking the website’s waiting changes with them.

Grouping changes needs a one-time step by our webmaster in Cloudflare (the Setup checklist calls it Building changes together). Club setup › Features › Publish saved changes together is on, for the whole club; turning it off means the website updates its pages after every change. If an update the website asked for doesn’t happen, the health watch tells our webmasters. After three failed tries, the website goes back to updating the pages after each change, until a grouped update works again.

The club's year

Some jobs come round once a year. The club’s year reminds our admins of each one on its day, worked out from the season’s dates, so nobody has to remember them. On the day, you get one entry in your Inbox with a button that opens the right tool, filled in where it can be. Under it, Done marks the job done, and Not this year skips it until next year. Changed your mind? Press Undo. A job also marks itself done when you use its tool. The Admin desk on your home page lists This month: each job of the month and each one still to do, with its day and its state.

  • Ask who’s playing next season, 10 weeks before the season ends. The button opens Club setup › Seasons with the question ready to send. See Next season.
  • Add the next season, with the rosters carried over, 6 weeks before it starts. The button opens Add the season in Club setup › Seasons.
  • Add the season’s charges, 2 weeks before the season starts. This one goes to the treasurer, or to our admins while the club has no treasurer. The button opens Club dues with our fees from the Join page ready: press Fill in beside a fee, check the charge and who pays, and add it. See Dues.
  • Review who can do more than a player, in August. The button opens Club setup › Who can do more than a player (see Who can do more than a player). Look through the list, remove any right that someone no longer needs, then press Mark this year’s review done.
  • Choose the season’s award winners, on the season’s last day. The button opens Club setup › Awards with the season chosen and each award’s candidates worked out. Saving the winners marks the job done. See Club awards.
  • Bring the league tables up to date, during the season, 2 weeks after a team’s league table was last updated. The button opens Update the table on the team’s page (see The league table), or, if the website can’t save the table (for example before our webmaster has set up saving from the website), League tables in Pages CMS. Saving the table marks the job done.

Under Club setup › The club’s year, turn each job on or off and move its day: so many weeks before or after, or another month for the review. Turn the whole thing off under Club setup › Features › The club’s year.

Who can do more than a player

Club setup › Who can do more than a player lists everyone who can do more on the website than a player can: our admins, the coaches, the team managers and the treasurer, with the day each last logged in. Only our admins see it, and it works whether The club’s year is on or off.

  • Remove a right that someone no longer needs, such as a coach who has stopped coaching. They become a player and keep their login, their answers and their history. A login that has no profile is archived instead, and you can restore it under Rosters › Everyone.
  • No admin can remove their own admin right. Another admin has to do it, so the club is never left without one.
  • While The club’s year is on, it reminds our admins each August to look through this list. Mark this year’s review done then records that the list was checked, and the reminder stops until the next August.
  • The club’s activity records each right removed, with who removed it.

The club's activity

Club setup › Activity (also under Tools) is the club’s record of what changed and who changed it, so the board can always look back. Only our admins see it. Each line says who, what, for whom and when, in words, such as Coach C changed Eagles I’s team settings: Standby ends 4 hours before each event or Tilda T marked Ann A’s Season fee as paid. It records:

  • Members added, archived, restored or deleted, their login emails given or changed, their roles, and Log them out everywhere.
  • The feature switches and the club’s settings in Club setup, each team’s Team settings and each event’s own settings in Coach tools.
  • The profile rules, and a private detail no longer collected, with how many we deleted.
  • Dues: charges added, changed, withdrawn or deleted, and each payment recorded, also from a bank statement.
  • Testimonials and game reports published or sent back.
  • A right removed under Who can do more than a player.
  • What the website does by itself: a former member’s contact details deleted (Leaving the club), named The website.
  • A coach, admin, team manager or treasurer let through without confirming it’s them, because they had no way to do it.

A line never holds an email address, a code or a private detail: it says changed Ann A’s login email, never the address, and a payment’s amount and note stay on Club dues. The newest lines come first, 25 at a time, with Older and Newer below them. Open Filter and search to show only what one person changed (Who), what was done to one member’s account (Whose account), one Kind of change, the days From and To, or lines with a word or a name. Clear the filters shows everything again.

Nobody can change or delete a line. Club setup › Features › The club’s activity turns the record off: while it’s off, nothing new is recorded (a record nobody looks after shouldn’t go on collecting what members do), and Activity disappears from Club setup. The lines kept stay until their time is up, and still show in each member’s data. Turning it off, and on again, is itself recorded, so the record says where it stops and starts. Under Club setup › Profiles › The club’s activity, choose how long we keep each line: 1, 2 (as it starts) or 3 years. Then the website deletes it. Each member finds the lines about their own account in Your data. A member who deletes their data stays in the record as a former member, and so does one an admin deletes completely.

The test club

To see how the website works for a club of ten teams, our admins can show the test club: seven made-up teams beside our own three (Eagles IV, V and VI, Women, Masters, Juniors and Development), each with a full roster for last season and this one, and two seasons of practices, games, tournaments, team evenings and trips. Last season is complete, with its results; this season is played up to 17 October 2026, and the rest is on the schedule. Its made-up people use the website as members do: they answer, come, take duties, offer rides, write comments, vote in polls, pay dues and keep a team kitty.

  • Turning it on or off: an admin who edits the website in Pages CMS ticks or unticks Show the test club under Site settings › Test club. It’s off as it starts, and the live site and the preview each have their own setting. Within a few minutes of saving, the test club’s pages appear on the site (or go). The records of its players using the website follow a batch at a time over the next day or two (see below), so for a while some of its events show no answers yet.
  • Like real data: its teams, players and events show on the Schedule, the Teams page and the home page, and the pages for the whole club count them, such as Costs, the attendance history and Rosters › All teams. Their pages work as our own do. Its made-up people can’t log in, so you look after a test team with your own admin login.
  • Kept apart: every test page tells search engines not to list it, and none is in the list of pages we give them (the sitemap). The website’s own search finds them, as it finds our own pages. Our own teams never get a test player or a test event, and a test team never gets one of ours: the website refuses a change that would mix them and says why. Nothing about the test club reaches a member: no notification, Inbox entry or email, and no birthday or goalie request. The club’s calendar feed leaves its events out, and each test team’s own calendar feed has them. Our members’ answers, history, stats and Your data stay as they are.
  • A batch at a time: our free plan lets the website make 100,000 changes a day to its records, for the live site and the preview together. So the website adds the test club’s records in batches, one every five minutes and one each time an admin opens Club setup › Test club, and makes at most 20,000 changes a day on each site. Adding them all takes about 34,000 changes in about 38 batches, a little over three hours of batches. Once the day’s 20,000 are used up, the website waits until midnight UTC (01:00 German time in winter, 02:00 in summer) and then goes on, so it usually finishes the next day. Deleting them takes about 14 batches, also over two days. Club setup › Test club shows how far it is and how many of today’s changes it has used, and Continue now does the next batches straight away instead of waiting five minutes.
  • Before the launch on kmceagles.org, the test club must be turned off on each site. Its pages and photos then go within a few minutes, and the website deletes its records the same way, a batch at a time, until nothing of it is left. Our own teams’ and members’ records are never touched. Club setup › Test club says when it’s all gone.

Editing the website

Events and scores, rosters, profiles and photos, announcements and the announcement bar, testimonials, the teams’ details and new seasons are changed right here on the website, as described above, and players change the parts of their own profiles that our admins let them change. That is the place for them: a change shows at once, is checked as you make it and tells the players it concerns. Pages CMS holds what the website doesn’t: the page text, news, photo galleries, videos, rinks and the club’s information. It also keeps the schedule, rosters, people, the banner, the testimonials and the league tables, but only for when the website can’t save a change, for example before our webmaster has set up saving from the website. A league table pasted on a team’s page also shows in Pages CMS, under League tables (see The league table). The Pages CMS guide walks through what Pages CMS keeps, and the Webmaster’s guide covers the technical side.

The app on your phone

You can install the website like an app, with its own icon, a full-screen view and saved pages for when the signal is weak.

  • Android and computers: press Install at the top of the page (on a narrow phone, Install the app in the menu), or choose Install app or Add to Home screen in the browser’s menu.
  • iPhone and iPad: in Safari, tap Share, then Add to Home Screen.

On Android and on computers, press and hold (or right-click) the app’s icon for shortcuts to Your events, your Inbox, the schedule, the rink map and your saved rinks. Your events and the Inbox ask you to log in first if you aren’t.

Where your phone or computer shows one, the app’s icon carries a count of what’s waiting for you, the same red number as on your menu button. It goes when nothing is waiting or when you log out. A notification that also goes to your Inbox adds one to it, even while the app is closed. Turn it off under Settings › This device › Count on the app’s icon.

The app keeps its own login, so log in there once too (see Log in). The app updates itself. To get the newest version, close it fully and open it again. When you come back to the app after a while, it brings the answers up to date by itself.

Search

Press the magnifier beside the menu button, or Search the website at the top of the menu. On a computer, / or Ctrl K (⌘ K on a Mac) opens search from any page. Results appear after you type two letters, grouped into players, teams, events, rinks, news, history and club pages, and the filter buttons narrow them to one kind. Once you’re logged in, Your pages comes first: the pages and tools in your menu, and the sections of Settings (and, for admins, of Club setup), found by their names and by what they’re for. They’re found on your own phone or computer, from your menu; the public search never holds them. Use the arrow keys and Enter to open a result, and Escape to close search.

This phone or computer remembers your last five searches, and Clear removes them. See all results opens the search page, which can also sort events and news by date. You can share or bookmark the search page’s address.

Keyboard shortcuts

On a computer, single keys do much of what the mouse does. Press ? on any page for the keys that work there, and the list shows only the ones that apply to you. A key never acts while you’re typing in a box, or while Ctrl, ⌘ or Alt is held down, and each one does the same as a button on the page, which still works as before. The keys follow the letter printed on your keyboard, so they work on a German keyboard too.

  • Everywhere: ? lists the keys, / opens search, A opens the menu once you’re logged in, and Esc closes a window or menu.
  • Go to: press G, then a letter. A small note at the bottom of the screen lists the letters. G H Home, G E All events; when you’re logged in, G S Your events, G U Sub opportunities, G I Inbox, G C Group chats, G O Polls, G D Your dues, G Y Your profile, G , Settings, and for coaches and admins G R Rosters; when you’re logged out, G T Teams, G N News and G M the rink map.
  • Schedule: 1 to 4 open Your events, All events, Sub opportunities and Past events. L, D, W, M and Y show the list, a day, a week, a month or a year. ← and → move to the previous or next period, and T comes back to today.
  • Lists of events and notices: J and K move to the next or previous one, and Enter opens it. On an event in focus, I answers In and O Out, and M Maybe where the event allows it (on an event that doesn’t, M still shows the month). On Your events, X ticks its box, and Shift I, Shift M or Shift O answers every ticked event.
  • An event’s page: I and O answer In and Out, as the buttons do, and M Maybe where the event allows it. N goes to your note for the team, C to the comment box and R to the rides. S opens the menu at Share, and [ and ] open the previous and next event of your teams.
  • Inbox: J and K move between notices, and Enter opens or closes one. E archives the notice in focus, U marks it read or unread, I, M and O answer In, Maybe and Out where it has them, and X ticks it, which starts Select.
  • Coaches and club admins: on an event’s page, E opens Change or cancel this event, L the line-up and W Who came. On Rosters, F goes to Find a player, [ and ] choose the team before or after, J and K move through the players, Enter opens one, and C chooses the columns.
  • Forms: in any form with a button that saves it, Ctrl Enter (⌘ Enter on a Mac) saves it, as the button does. It never confirms a deletion.

A button with a shortcut names its key in its tip, for example “Next month · →”. To turn the single keys off, untick Single-key shortcuts in the list or, once you’re logged in, Use single-key shortcuts under Settings › Help on the pages, and your other browsers follow. Keyboard shortcuts, at the bottom of every page and at the foot of the menu, opens the list at any time, including to turn the keys back on.

Language

At the foot of the menu, press Sprache / Language. Google Translate loads only when you press it, and its list of languages replaces the Sprache / Language button. Choose German, French, Dutch, Spanish, Polish or Italian to translate the website. We remember your choice as you move between pages, and choosing English takes you back to the original. Machine translation often gets hockey terms wrong.

Light and dark

The website follows the light or dark setting of your phone or computer.

Printing

The schedule, the rosters, a player’s profile and card, and the coaches’ bench sheet each have their own print layout. Use the page’s Print button or More › Print, or your browser’s own print command.

Keyboard

/ or Ctrl K opens search. Escape closes menus, pop-ups and windows. Skip to content is the first link the Tab key reaches. In a photo gallery, the arrow keys move between photos, + and − zoom in and out, 0 fits the photo to the screen and Escape closes the gallery.

News, photos and the club

  • Testimonials are our players’ own words. Leave a testimonial opens the contact form, which sends yours to the club; one of our admins reads it and publishes it. Once you’re logged in, you can also write yours under You › Your testimonial (see Your testimonial).
  • Heritage covers our history, honors, retired numbers and the Cuddeback Memorial.

Fees, uniforms and contact

  • Dues and fees lists this season’s fees and when they’re due.
  • We don’t show our bank details on the public pages. Members find them under Your dues once they’re logged in; anyone else can ask the club president through the contact form.

The contact form starts with a choice of topic: a question, joining, a roster or profile update, the schedule, media, a testimonial, volunteering or a website problem. It then shows the boxes for that topic. A short spam check runs before your message goes. The next page explains what happens after that, and one of our volunteers replies by email.

Privacy

  • Player profiles never show contact details, ranks or units.

  • You choose how your profile shows on the public site, and we record your choice.

  • If the club collects them, your phone number, birthday and emergency contact are seen only by you, our coaches and our admins, and never appear on the public site. We keep them until you or an admin removes them, or until the club stops collecting them. Once your login has closed (because you left the club or we archived it), we keep them for six months more, unless our admins chose 3, 12 or 24 months. Then we delete them with your email address, linked accounts, passkeys, notification choices and devices.

  • What we keep, and for how long:

    • Your answers and notes (with the time you said In, which sets the order of a waiting list), your check-ins, your offers to sub and your duties.
    • Your rides: until a day after the event.
    • Your comments and replies: until two months after the event.
    • Your feedback and bug reports, with any screenshot: until a year after an admin marks one done, and the screenshot until three months after. Only you and our admins see them.
    • Your testimonial and how it names you: until you delete it. It appears on the public pages, named as you chose, only once an admin publishes it.
    • Your away dates: until a month after they end.
    • Your dues, as our admins and our treasurer mark them.
    • The game sheets that name you.
    • Your votes in polls: until a month after the poll closes.
    • The profile changes you asked for: until three months after they were handled. A photo you sent for approval: until it’s handled.
    • Your choices of notifications and quiet hours, and the phones and computers you turned notifications on for.
    • Your notices: those about an event until the day after it, and the others for 30 days.
    • When you read each announcement: until it ends, or for four months for the club announcement.
  • To log you in, we keep:

    • The email address an admin entered for you. Our coaches and admins see it so they can reach you, and the website uses it only to send login codes, which go out through Resend.
    • The public part of your passkeys. The secret part never leaves your phone or computer.
    • Which Google or GitHub account you logged in with or linked. Google and GitHub only tell us that you signed in and what your verified email is.
    • For each phone or computer you’re logged in on, the kind of device and browser and when you logged in.
  • Who sees what: only logged-in members see game sheets and game stats. Only you, our treasurer and our admins see your dues. Only the event’s players, our coaches and our admins see names, notes and offers. Coaches and admins see who has read each announcement.

  • Your calendar link is made from a secret key that only we hold, and New link stops the old one.

  • The website uses one cookie to keep you logged in for 90 days, and another to remember the language you choose.

  • We keep answers, who came (late or excused too), the votes for the player of the game and game sheets in full for this season and the one before, and only the attendance totals for older seasons. Nobody sees whom you voted for. Settled dues are also kept for this season and the one before. A charge still owed stays until it’s settled. A team kitty keeps its entries for this season and the one before too; for older seasons, once every player’s entries are settled, we keep only one total for each team. Only you, the kitty keepers, your coaches and our admins see your entries; if you delete your data, they stay in the team’s record without your name.

  • Your kit orders (the items and sizes, the cut, the name on the jersey and your numbers) are seen only by you, our jersey coordinator and our admins. We delete an order a year after it’s handed out; its charge is kept as other dues are.

  • Under Settings › Your data you can download everything we keep about you, or delete it.

  • We keep a record of what our admins, coaches, team managers and the treasurer change, and of what the website does by itself to your account, for two years unless our admins chose one or three. Only our admins see it, it never holds your email address or a private detail, and the lines about your account are in your data download. See The club’s activity.

  • Each week we make an encrypted copy of all the attendance records and keep it for 90 days, so nothing is lost if something goes wrong.

The privacy notice has the full details.

Troubleshooting

No In and Out on an event? Check that your photo or initials appear at the top of the page. If they don’t, log in. If they do, you’re not on that event’s list, so ask your coach. Answers also close when the event starts, and you can’t answer for a canceled event.

Can’t log in? Check that you used the email address we have for you, and ask one of our admins if you’re not sure. If no code arrives, check your spam folder, wait a minute and press Send a new code. If codes aren’t offered, use a passkey, Google or GitHub. If your membership was archived, an admin can restore it.

Seeing someone else’s name? Press Not you? at the foot of the menu, log out, and log in as yourself.

Away for a few weeks? Enter Away dates instead of answering each event.

Notifications not arriving? Check that notifications are on for this phone or computer under Settings › This device, then press Send a test. Under Settings › Notifications, check that the kind isn’t set to Inbox only or Off, and look at your quiet hours. The reminder before an event only comes when you’ve said In. On an iPhone, use the app on your home screen and see On an iPhone or iPad.

Do you need to reload a page to see changes? No. The Schedule, Your events and every event page keep up with other people’s changes while they’re open. A new or moved event appears, and answers, sub offers, rides and comments show up within about twenty seconds. A change you make in another tab or in the reminder shows straight away.

Calendar not updating? You may have downloaded a copy instead of subscribing, so subscribe as shown in Calendars on your phone. Your calendar app checks for changes on its own schedule: Apple’s within a few hours, Google’s sometimes only once a day.

App showing old information? Close it fully and open it again.

Name or number wrong? You can change your usual number on Your profile if our admins let members change it, but your coach sets the number you wear on each team’s roster. For your name, write it in the note to the admins on Your profile.

The round i buttons have gone? Turn them back on under Settings › Help on the pages.

Translation reads oddly? Choose English in the list under Sprache / Language, at the foot of the menu.
